Learn how to set up gift cards with Birchmount and Dutchie POS.

Dutchie offers a gift card solution in partnership with Birchmount. This allows dispensaries to set up gift cards in the Backoffice so that customers can use them to make purchases. This document will walk you through how to set up gift cards and how to manage the use of gift cards at your store. 

Things to consider

  • Dutchie's integrated gift cards via Birchmount can only be redeemed in-store and cannot be used at online checkout through Dutchie Ecommerce, see Manage gift card use in-store
  • To use gift cards, certain settings need to be enabled in the Backoffice confirm with your Dutchie Admin that you have the necessary settings enabled. 
  • Dispensaries need to contact Birchmount to set up an account and order cards for their store. Contact Birchmount at support@birchmountnetwork.com.
  • Tracking and shipment of physical cards are handled by Birchmount. Contact Birchmount for questions about shipping and restocking cards.

Set up gift card inventory 

To sell gift cards, they need to be set up as non-cannabis inventory in your catalog. 

  1. Add new gift card inventory to your product catalog.
  2. Go to Products > Catalog
  3. On the Product Details tab, fill out the required fields:
    • Cannabis Product: No
    • Strain: Non-Cannabis
    • Taxable: No
    • Price: Input the value of the gift card you want to sell (POS will use this value to the total owed by the customer at checkout).
  4. Finish inventory set up to have it displayed as a SKU on your POS.
  5. Contact your CSM to enable the Checkout Gift Card checkbox within your POS back office.

Manage Birchmount gift card use in-store

Dispensaries work directly with Birchmont to configure this solution and then set up gift card acceptance in the POS. If you do not have a Birchmount account and are interested in getting set up, contact Birchmount at support@birchmountnetwork.com and set up a time to configure your gift card. 

Activate gift cards

  1. Add the fixed-value gift card to the cart.
  2. Click Checkout, select payment type, and capture payment.
  3. Switch to the Birchmount portal and scan the gift card barcode or manually enter the 19-digit card number and the gift card amount to activate the card.

Redeem gift card in-store

  1. Open the Birchmount portal to look up the 19-digit card number value by barcode scan or manual entry.
  2. After you confirm the balance, select Checkout and click on the gift card on your POS.
  3. Manually enter gift card value on POS. Charge the remaining balance if necessary to another funding instrument.
  4. Switch back to the Birchmount portal to enter the value of the card that was redeemed.

In-store redemption with Birchmount integration

With the Birchmount gift card integration, you can scan the barcode or manually enter the card number of a pre-loaded gift card to redeem it directly from the POS. To redeem in-store:  

  1. Add items to the cart. 
  2. Select Checkout
  3. On the Select payment type pane, select Gift Card.
  4. Scan the card or manually enter the card number and PIN. 
  5. The available balance will appear in the window. 
    Note: You'll have the option to cover the entire purchase with the gift card balance or make a partial payment. 
  6. Enter the amount you want to apply to the gift card.
  7. Select Apply Gift Card
  8. Select Pay to finalize the order. 

Gift card activation and processing transactions

  1. Open the Birchmount portal on a separate iPad device for easy access when activating gift cards, checking balance, and processing transactions. 
  2. Activate a gift card: Scan the gift card barcode or manually enter the 19-digit card number and the gift card amount to activate the card
  3. Check the balance: Look up the 19-digit card number by scanning the barcode or manual entry and confirm the balance.
  4. Process a transaction: Select ‘Gift Card’ as payment method in Dutchie POS and enter the value redeemed. The team member will also toggle back to Birchmount on the iPad to enter the value that was redeemed.

Reverse a transaction 

  1. Go to customer transaction history.
  2. Select the items they want refunded.
  3. Toggle yes for “cash returned”
  4. Switch to Birchmount portal to manually enter the 19-digit card number to look up the card to then issue refund
  5. Add a customer note to let accounting know cash was not given but the refund was issued to existing gift card.
