Oregon | Greenbits to Dutchie POS migration resources

This article is designed to guide Oregon retailers through the transition from Greenbits to Dutchie POS and includes educational resources about the essential functions of Dutchie POS and key differences from Greenbits.

Note that some resources linked in this article are written for a general audience and may contain information that does not apply to Oregon or your specific operations.


Log in to Dutchie POS

Dutchie will provide account administrators with login information for the Dutchie POS Backoffice. Your customers, products, and inventory from Greenbits will be pre-loaded into your Dutchie POS account. Note that you will need to set up your own user/employee profiles, pricing tiers, and discounts and loyalty settings


Set up Registers and hardware

Create and configure Dutchie Registers in the Backoffice. You can create as many registers as you need, and there is no per-register fee.

You can use our iOS app to run Dutchie Registers on your existing iPads with your existing peripherals. You can also run the Dutchie Register via a web browser (we recommend Chrome) on various devices. Dutchie supports many of the same peripherals as Greenbits.

Set up Metrc integration

You can enable the Metrc integration in Dutchie POS while still using Greenbits for your daily operations. This will have no effect on your Greenbits/Metrc integration as long as you avoid selling traceable inventory in Dutchie POS until you’re ready to complete your transition to Dutchie POS.

Oregon operators should use Batch Mode for reporting transactions to Metrc.

Dutchie POS supports individual user API keys for Metrc. Admins can manage these on employees’ behalf, or employees can manage their own. Make sure each team member has their own Metrc account and API key entered in Dutchie POS so that each inventory action a user performs in Dutchie POS is correctly attributed to them in Metrc.

Like Greenbits, Dutchie POS’s Metrc integration depends on correct user permissions in Metrc.


Configure taxes and purchase limits

Learn about tax rates, tax categories, and purchase limits in Dutchie POS. Note that unlike in Greenbits, purchase limits in Dutchie POS are user-configured.

To ensure purchase limits are accurately enforced, make sure product weights are accurately recorded in the Grams/concentration field on each package.


Verify external categories and tax categories

After you’ve set up your taxes and enabled the Metrc integration, there are two key pieces of information to verify for each product in your Dutchie POS inventory to ensure taxes are applied correctly at the Register and sales are categorized correctly for tax reporting purposes:

External category

  1. Go to Products > Catalog.
  2. Select a product.
  3. Scroll to the External category dropdown and select the appropriate category.

    • The options in this dropdown are pulled from Dutchie POS's Metrc integration and correspond to the state-defined categories.
    • Refer to the tax categories in OLCC's Product Categorization Guide or ask your inspector if you have questions about how to categorize a certain product.
    • If you don't see the External category dropdown on your product detail pages, go to Products > Configure > Fields and make sure External category is set to Required if Cannabis at the Catalog level.

  4. Click Save.

Tax category

Tax categories are set at the product category level:

  1. Go to Products > Configure.
  2. Select the Categories tab.
  3. Select a category.
  4. Verify that the Tax categories field is filled in correctly. In Oregon, you only need two tax categories: Cannabis and Non-cannabis.

Note that there is also a Tax categories field at the individual product level, however, this is only used as an override for single products that should be taxed differently than other products in the same product category. This is rarely, if ever, applicable in Oregon.


Manage customers and customer types

We will import your Greenbits customers list into your new Dutchie account, but you should also familiarize yourself with Dutchie POS’s customer types (medical, recreational, caregiver, etc.) and customer groups (customizable groups used to qualify specific customers for certain discounts, such as senior citizens, veterans, industry discounts, etc.).

To help you remain in compliance with Oregon consumer protection rules, Dutchie has a tool to remove customers’ personal information that may have been inadvertently recorded or retained without proper authorization.

Dutchie also offers a tool to clean up and merge duplicate customer profiles.


Create user profiles and manage user permissions

User profiles for your employees will not be imported from Greenbits. You will need to create new user profiles and configure user permissions in Dutchie POS.

Refer to our user permissions reference guide to help you determine the appropriate permissions for each individual user or role (called “permission groups” in Dutchie POS).

Note that like Greenbits, Dutchie POS user PINs are randomly generated. Users cannot choose their own PIN, nor can we import existing PINs from Greenbits into Dutchie POS.


Configure inventory rooms

Rooms and Subrooms in Dutchie POS are similar to Places in Greenbits. They also correspond to Locations in Metrc.


Receive and manage inventory

Before receiving new inventory in Dutchie POS, familiarize yourself with the following:

As with Greenbits, accept cannabis inventory in Metrc first, then follow the pending transfer workflow to receive it in Dutchie POS. Follow the manual workflow to receive non-cannabis inventory.

Make sure product weights are accurately recorded in the Grams/concentration field on each package. This value is used to enforce purchase limits.

Each cannabis product in your Catalog should also have Sync to Metrc Item set to Yes. Otherwise, you may get error messages when converting or creating packages.

To view all packages associated with a product, go to Products > Inventory and search for the product name.


Labels

Unlike in Greenbits, you have the option to design your own custom labels in Dutchie POS. However, this is not required, and your Dutchie account will come with an Oregon-compliant package label pre-loaded into the system, which you can edit in Settings Labels.


Discounts and loyalty

Set up discounts and loyalty programs in the Marketing tab of the Dutchie Backoffice.

Dutchie POS also integrates with Alpine IQ and Springbig loyalty platforms.

If you integrate Dutchie POS with Dutchie Ecommerce, our Discount Sync feature allows you to manage most discounts in Dutchie POS and have them automatically sync to Dutchie Ecommerce.

Dutchie POS’s loyalty features only allow customers to accrue points per dollar spent, not points per transaction.


Set up pricing tiers

Tiered pricing from Greenbits will not be imported to Dutchie POS. Learn how to set up your pricing tiers and assign tier pricing to products in Dutchie POS.


Tax-inclusive “out-the-door” pricing

Learn about Dutchie POS’s “out-the-door” pricing if you want your prices to include cannabis tax. This is similar to Inclusive Taxes in Greenbits.


Bottle and can deposits

If you sell beverages, set up an automatic fee to cover Oregon’s bottle and can deposit.


Register training

Because recreational cannabis transactions in Oregon are nearly always anonymous, make sure your registers are set up for anonymous transactions before training staff on using the Register.

Budtenders can log in to the Register using their Dutchie POS username and password or with their PIN. To enable PIN login, go to Settings > Location in the Backoffice and select Use PIN Login.

Key differences from Greenbits:

  • Users do not start a new drawer/till in Dutchie POS at the beginning of their shift. Instead, when a user closes out a register, they enter the New Balance they are leaving for the next shift. This automatically becomes the starting cash amount for the next shift, and the next user can log in and begin processing transactions without entering a starting cash amount.
  • Dutchie POS does not have an option to automatically log users out after each transaction. However, there is a similar feature that requires users to enter their PIN before completing each transaction. Contact Dutchie Support and ask them to enable the “Require PIN on checkout” feature for your location(s).

The only Dutchie POS report that is specific to Oregon is the Oregon Tax Report by Tax Category. Use this report to file your quarterly tax returns.

Integrating Dutchie POS with Dutchie Ecommerce can help drive sales and streamline your operations. This also allows you to take advantage of Discount Sync, which allows you to create and manage most discounts in the Dutchie POS Backoffice and have them automatically sync to Dutchie Ecommerce. If your dispensary offers delivery, review the recommended Metrc integration settings for delivery, then review these additional delivery resources:

Some delivery articles refer to “Dynamic delivery,” a set of features designed to support the “ice cream truck” delivery model, which is not compliant in Oregon. “Standard” or “single” delivery refers to the more common “pizza delivery” model used in Oregon.


Additional account and location settings
