How do I schedule, send, view, and export reports in Dutchie POS?

Learn how to schedule, view, send, and export reports in Dutchie POS.

To view reports in Dutchie POS Backoffice, you must have the appropriate user permissions set. The link to Reports will not appear in the Dutchie POS Backoffice sidebar if the user has no report-related permissions enabled.

Dutchie POS's reporting module contains the POS Dashboard, the system’s suite of static reports.

Reports overview page

Go to Reports > Overview.

From the Reports Overview page, you can see daily and monthly snapshots of your sales, the sales of your budtenders, and which products are best sellers. You can also use the search to find individual reports.

Daily snapshot

The Daily Snapshot tab shows you sales information for a particular day. You can change the day by clicking the calendar beneath any heading.

  • Customers by budtender
  • Products sold by hour
  • Products by category

Monthly snapshot

The Monthly Snapshot tab shows you sales information for a particular month. You can change the month by clicking the calendar beneath any heading.

The chart below will show you a visualization of the data for the month, by day. You can see Total transactions, Total Sales, or Average Sale per Cart.

Budtenders

The Budtenders tab shows you the sales information for your budtenders.

Products

The Products tab shows you the most sold products.

Schedule and send reports automatically

You can schedule reports so that they are sent to your email automatically, every day, week, month, or year. Reports are delivered in .xlsx format.

  1. Go to Reports > Configure.
  2. In the Scheduler tab, click Add schedule.
  3. Enter an Email subject line, such as "Daily Closing Report".
  4. Enter an Email body, such as "Today's closing report is attached".
  5. Enter a Start date.
  6. Select a Frequency (how often you want the report to run) - Daily, Weekly, Monthly, or Yearly.
  7. Click Save.
  8. Select the new schedule from the list in the Scheduler tab.
  9. In the Reports section, click Add report and search the name of the report(s) you want to receive.
  10. Click Save.
  11. In the Recipients section, Add recipient and select a use you want to receive the reports. Make sure the user's profile has a valid email address.
  12. Click Add recipient again to add another recipient.

View and export reports

You can view your reports in Dutchie POS or you can export your reports to a .xls file.

  1. Go to Reports and choose the type of report you want to see.
  2. Select the report from the dropdown.
  3. Select any other information you need for the report, including start and end dates.
  4. If you want to view the report in Dutchie POS, click Submit. If you want to export the report to a .xls file, click Export.

Discrepancies between scheduled and manual reports

Scheduled reports generate at the scheduled time using data available at that moment. Manual exports generate at runtime with current data, which may include post-dated adjustments, voids, or data that synced after the scheduled report ran. 

Scheduled reports are snapshots at scheduled time and are best for the consistent timing of reoccurring reporting. If significant discrepancies exist between scheduled and manual reports, verify:

  1. Timezone settings match expectations. 
  2. No bulk data imports/adjustments happened after scheduled report time.
  3. No system processing delays occurred during scheduled report time.
