Learn how to create a new guest in the Dutchie POS Register.
Before you begin
- Customer types need to be enabled in the Backoffice of Dutchie POS in order to be assigned to a guest at the POS.
- If you have Auto create profile with ID scan enabled in your Location settings, you can also create a new guest by scanning their ID.
- Note that MMJ State ID number is required for patients.
Create a new guest profile
On the Guest List, click the Create Guest button and fill out fields as required or applicable.
When you're finished, click Create to save the profile, or click Check In to save the profile and add the customer to the guest list to start a transaction.
Customer profile fields
Fields marked with an asterisk are required. Admins can control which fields are shown, hidden, and required on customer profiles by going to Customers > Configure > Fields in the Backoffice. Learn more.
Customer types
Admins can also control which options are shown under the Type dropdown by going to Actions > Manage customer types in the Backoffice. Learn more.
Customer statuses
Status defaults to Active for all new customers. You can also choose from the following:

Archived removes the customer from your Registers and from the customer list in Backoffice. Archived customers do not appear in search results.
- You can only archive a customer in the Backoffice. This status is not available to select in the Register.

Check the box for Show archived customers to expose customer profiles that have been archived.
- Archived customers are not considered in duplicate customer checks when creating a new customer profile in the Register.
- You can also set a customer's status to Archived by selecting the ellipsis next to a customer in the list and selecting Deactivate. You can only deactivate one customer at a time. Note that Archive is different from the Inactive status.
- You can un-archive a customer by opening their profile and changing their status back to Active.
- Banned - if a customer is no longer welcome to shop at your dispensaries, you can set the customer’s status as Banned so employees know they shouldn’t serve that customer or accept orders from them. You can also enable a setting to prevent check-in for banned customers. Learn more.
- Cancelled or Hold customers will appear in search results but can't be checked in at the Register.
- Inactive customers can be checked in, but a warning message will inform users that the customer is inactive.
Medical tab
If you set the Customer Type to Medical, select the Medical tab to fill out any relevant medical details for the patient including Caregiver information if applicable.
Note: Guests can use a single profile for both recreational and medical transactions.
Duplicate customer warnings
If you've entered a combination of customer details that match an existing non-archived customer, such as a matching first name, last name, and date of birth, you may see a potential duplicate customer alert.
If you've verified the new profile and existing profile are not the same person, click Create new profile to dismiss the alert.
Otherwise, click Use existing profile to discard the new profile you started creating and avoid duplicating the customer in your list.
Assign a guest to discount groups
After creating a guest's customer profile, you can assign them to customer groups (also known as discount groups). Customer groups are used to indicate which customers qualify for certain discounts, such as senior discounts, veteran discounts, or any other custom group for discounting purposes. To assign a guest to a customer group:
- In the Register, search for an existing customer.
- Only existing customers can be assigned to customer groups.
- To assign a new customer to a customer group, save the new customer profile first, then reopen it to add the customer to a customer group.
- Click the pencil icon or Edit Profile.
- On the customer/guest profile, scroll to the bottom of the Personal section and click the + sign next to Discount Groups.
- Select a customer group from the dropdown.
- Click the + sign again to assign the guest to more groups.
Guest History and Journal
After creating a guest's customer profile, History and Journal appear on the left-side menu below the Personal and Medical sections.
- History shows the customer's past transactions and products they've purchased. You can also process a return or a void. Learn more about Guest History.
- Journal is for recording notes about the customer.
