Customer journal entries, customer notes, and transaction notes, and transaction reference in Dutchie POS Register

Learn how to record and view notes and additional information about customers and transactions in Dutchie POS Register.

Dutchie POS gives you a few different ways to record and view additional information about customers and transactions:

  • Customer notes are a place to record general information about a customer that isn't specific to a particular date or visit, such as their preferences or required accommodations.
  • The Journal works like a running log of customer visits with dated entries.
  • Transaction notes are a place to record information about specific transactions; however, these do not appear in the closing report.
  • Transaction reference is a short, additional identifier for a transaction that appears in the closing report. This is often used for recording information about returns or exchanges.

View and add customer notes

Customer notes are a place to record general information about a customer that isn't specific to a particular date or visit, such as their preferences or required accommodations.

Notes are displayed on the right side of the cart when a customer is assigned to the cart. Click Edit to remove, add, or update the notes.

There is an optional setting to automatically display the Guest notes window when opening a cart with a customer assigned or when assigning a customer to a cart.

In the Register, select the Settings gear from the left side navigation, then click the Advanced tab. Toggle on Popup Notes when entering POS.

If this setting is enabled, Dutchie Support can configure your registers to automatically show the journal instead of customer notes upon request.

View and add journal entries to a customer profile

The Journal works like a running log of customer visits with dated entries.

  1. On the customer profile, select the Journal tab on the left side:

    Or, click the ... button in the cart and select Journal.

  2. Add the topic for the note to the Subject field and more details in the Journal Notes field.
  3. Click Create to complete your note. 
  4. Click Save. Your entry appears in the searchable table below along with any past entries.

Add transaction notes

Transaction notes are a place to record information about specific transactions. Access them by clicking the ... button in the cart and then selecting Transaction notes.

Transaction notes do not appear in the closing report; however, transaction references do.

Add or edit transaction reference

The transaction reference is an additional identifier for a transaction that appears in various reports. This is in addition to an automatically generated order number. 

A common use for transaction reference is for recording information about exchanges. For example, if a customer wants to return an item and exchange for another item, you can add the original sale's order number to the transaction reference when you ring up the replacement item.

To add a transaction reference, assign a customer or add at least one item to a cart. This generates an order number (also called a receipt number). Click Edit next to the order number:

Add a transaction reference and click Save.

The transaction reference then appears in the cart next to the order number. Click Edit again to update or remove it.

To view transaction references in the Backoffice, go to Reports > Closing report and select the Payments tab in the bottom section. If you don't see a Transaction Reference column scroll to the right and/or click the cog wheel to add it to your column configuration.
