Manage cash and close out registers from Dutchie POS Backoffice

Drop excess cash, transfer cash between registers, manage withdrawals, deposits, and more using Dutchie POS.

Drop excess cash from your registers periodically and close registers out at the end of a shift or the end of the day for security and smooth retail operations. You can also process cash transfers between registers, withdrawals, or deposits in the Backoffice or at the POS.

Things to consider

  • Adjustments, transfers, withdrawals, and deposits require you to select a reason. Be sure to set up your reasons under Registers > Configure > Register adjustments.
  • Adjustments are an optional feature. If you don’t see an Adjust balance option, contact support to have this feature turned on.
  • These actions can’t be backdated.
  • If you forget to close out a register at the end of the day, close it out at the end of the next day or shift, including cash totals since the last close-out.
  • Closing out or dropping cash may require a manager PIN depending on your settings. Contact Dutchie support to change this setting.
  • Train your staff on best practices for cash management.

Adjust balance

Users with the Adjust Register permission enabled can adjust the balance of any register drawer. Adjust balances only to correct errors. If you’re adding or removing cash from a drawer, use Transfer, Withdraw, or Deposit instead.

  1. Go to Registers > Transactions.
  2. Under the By register tab, choose a register from the list.
  3. In the Register actions section, choose Adjust balance.
  4. On the Action dropdown, choose Money adjustment.
  5. Next to Adjustment type, choose Increase or Decrease.
  6. Enter an Amount.
  7. Select a Reason. You can add or edit reasons by going to Registers > Configure > Register adjustments.
  8. Enter a Comment explaining the adjustment.
  9. Click Save.

Drop cash from a register

For security purposes, periodically drop cash from a register and deposit it into a safe to limit the amount of cash in a drawer at any given time.

You can configure each register to show a warning when the amount in the drawer exceeds a given threshold so budtenders know when to drop cash. In the Backoffice, go to Settings > Devices. On the Registers tab, select a Register, enter an amount in the Cash threshold field, and click Save.

  1. Go to Registers > Transactions.
  2. Under the By register tab, choose a register from the list.
  3. In the Register actions section, choose Drop cash.
  4. Count and verify the amount of cash you're dropping.
  5. Enter the amount in Cash counted.
    • You can also select Enter cash details to enter the number of bills or coins of each denomination (i.e., one $100 bill, ten $20 bills, etc.)
    • When you’re finished entering, click Save to calculate the total.
  6. Optionally, enter a Note.
  7. If required, enter a Manager PIN.
  8. Click Save. If you've set up a cash vault, the dropped amount will be reflected there.

Transfer cash between registers

Transfer cash between registers as needed, such as when one register is low on $1 bills or quarters.

  1. Go to Registers > Transactions.
  2. Under the By register tab, choose a register from the list.
  3. In the Register actions section, choose Transfer.
  4. Count and verify the amount of cash you're transferring.
  5. Select the register you want to transfer cash To.
  6. Enter the Amount.
  7. Select a Reason. You can add or edit reasons by going to Registers > Configure > Register adjustments.
  8. Enter a Comment.
  9. Click Transfer.

Withdraw cash from a register (pay out)

Withdraw cash from a register for reasons other than a cash drop, transfer, or close-out, such as petty cash or paying a vendor.

  1. Go to Registers > Transactions.
  2. Under the By register tab, choose a register from the list.
  3. In the Register actions section, choose Withdraw.
  4. Count and verify the amount of cash you're withdrawing.
  5. Enter the Amount.
  6. Select a Reason. You can add or edit reasons by going to Registers > Configure > Register adjustments.
  7. Enter a Comment.
  8. Click Withdraw.

Deposit cash into a register (pay in)

Deposit cash into a register whenever you need to replenish cash or coins from a bank or safe or to replace cash you withdrew earlier. You can also use this feature to set your opening balance for the day if it wasn't set by entering a New Balance when the register was last closed out.

  1. Go to Registers > Transactions.
  2. Under the By register tab, choose a register from the list.
  3. In the Register actions section, choose Deposit.
  4. Count and verify the amount of cash you're depositing.
  5. Enter the Amount.
  6. Select a Reason. You can add or edit reasons by going to Registers > Configure > Register adjustments.
  7. Enter a Comment.
  8. Click Deposit.

Close out a register

Close out each register at the end of each shift or at the end of the business day.

Once you start closing out a register, avoid any actions that will affect that register's cash balance, such as further transactions, cash drops, deposits, withdrawals, or transfers. For example, if a manager is closing out a register in the Backoffice while another user processes a transaction on that register, an error will prevent closing out the register.

  1. Go to Registers > Transactions.
  2. Under the By register tab, choose a register from the list.
  3. In the Register actions section, choose Close out.
    • The Starting balance and Cash income are pre-populated for you based on the new balance that was entered the last time the register was closed out and the total of all cash transactions since the last close-out.
    • The Ending balance is the sum of the starting balance and cash income.
  4. Count all the cash and coins in the drawer, then enter the total in Cash counted.
    • You can also click Enter cash details to count the number of bills or coins of each denomination (i.e., one $100 bill, ten $20 bills, etc.)
    • When you’re finished, click Save to calculate the total.
  5. The Difference between the expected Ending balance and the Cash counted is calculated for you. If all transactions were processed accurately, and your cash count was accurate, this should be $0.00.
  6. In the New balance field, enter the opening amount you're leaving in the drawer as starting cash for the next shift. This amount will appear in the Start balance field (display only) and again in the New balance field (which can be edited) the next time the register is closed out.
  7. The Deposit is calculated based on the new balance minus cash counted. This is the amount you’ll deposit physically into a safe or bank. The deposit amount will also be reflected in your cash vault, if configured.
  8. Optionally, enter a Note.
  9. Click Close out, then Confirm

Bulk actions

You can close out or drop cash from multiple registers at once by going to Registers > Overview or Registers > Transactions and then clicking Bulk actions.

Drop cash from multiple registers at once

  1. On the Drop cash tab, enter the amount(s) you want to drop from each register in the Cash counted fields.
  2. Optionally, enter a Note. This will be recorded in your closing reports.
  3. Click Drop cash.

Close out multiple registers at once

  1. Count the cash in each register drawer. We recommend writing down the amount you counted and then re-counting to confirm accuracy.
  2. On the Close out tab, enter the Cash counted amounts for each register.
  3. Enter the New balance amounts for each register. This is the amount you will leave in the drawer for the next shift.
  4. Optionally, enter a Note. This will be recorded in your closing reports.
  5. Click Close out.
