Plants overview - Dutchie POS

Learn how to add plants to inventory, manage plants through each phase of growth, and update plant locations using the Plants tool in Dutchie POS.

Use the Plants section of the Cultivation module to add plants to your inventory, manage the progression of plants through each phase of growth, update plant locations, record additives used, review plant records, and prepare for harvests.

If you haven't already done so, go to Settings > Account in the Backoffice and select a label printer to print labels to.

Add plants

There are a few different ways you can add plants to your cultivation inventory. Be sure to create batches before adding plants.

Add new plants directly

  1. Go to Cultivation > Plants.
  2. Click Add plants to inventory.

  3. Assign a Mother plant.
    • If the mother plant is in your inventory and is designated as a mother, you can select it from the dropdown or search for it by strain or plant ID.
    • Otherwise, you can leave this field blank or click New mother to create and assign mother status to the mother plant and assign it to its child plants later.

  4. Assign a Batch.
  5. Record the Date planted.
  6. Choose a Type (Clone, Seed, Seedling, or Plant)
     

    If you’re integrated with BioTrack or Metrc, all new plants you create must be in the form of clone groups to ensure necessary compliance information can be added to the clone group during propagation.

  7. Enter the Number to create (either the number of existing plants or the number you are planting)
  8. Assign a Room.
  9. Enter a Project harvest date and Project yield.
  10. Assign a Subroom within the assigned Room.
  11. Choose whether to print a barcode Label with the plant’s serial number.
  12. Click Add.

You can also add plants in bulk by clicking Download template at the bottom of the page. Fill in the template with your plant details (maximum of 10,000 rows; don't delete or modify the columns or headers), then click Upload template and select your filled-in spreadsheet file. This can be helpful if you're using a mobile device or tablet to add plants.

Clone plants from an existing mother

  1. Go to Cultivation > Plants.
  2. Find the mother plant and click the 3 dots next to it

  3. Select Clone from plant. This opens a Clone from plant modal with the Mother field pre-populated.

  4. Assign a Batch or create a New batch.
  5. Record the Date planted.
  6. Choose a Type (Clone, Seed, Seedling, or Plant)
  7. Enter the Number to create (either the number of existing plants or the number you are planting)
  8. Assign a Room.
  9. Enter a Project harvest date and Project yield.
  10. Assign a Subroom within the assigned Room.
  11. Choose whether to print a barcode Label with the plant’s serial number.
  12. Click Add.

Transfer from inventory

If you’ve received plants from an outside vendor, you can transfer them from your retail inventory to your cultivation inventory.

  1. Go to Products > Inventory.
  2. Click the 3 dots next to a plant or use the checkboxes to select multiple plant(s), then click Bulk actions.
  3. Select Transfer to cultivation.
  4. Select the Plant type.
  5. Select the Growth phase.
  6. Assign a Batch
     

    If you’re integrated with Metrc, click Create batch and enter a batch name that matches the group name in Metrc. Otherwise, the system will assign the package ID as the batch name in Metrc.

  7. Enter the Transfer quantity.
  8. Click Transfer.

Convert immature plants to plants

 

When immature plants (clones, seeds, or seedlings) are ready to be tracked as individual plants:

  1. Go to CultivationPlant groups.
  2. Find the plant group/batch that the plants originated from.
  3. Click the 3 dots next to the plant group and select View plants.

  4. This takes you back to the Plants table, where you can select the three dots next to a plant and choose Convert to plant.
  5. Enter the number of surviving clones in the Count field.
  6. The Plant group, Conversion date, and Type fields are pre-populated for you.
  7. Select the cultivation Room and Subroom you’ll put these plants in.
  8. Set Mother flag to Yes if you want to designate these plants as mothers.

  9. If you’re integrated with Metrc, enter or scan the Metrc plant (yellow) tag in the Starting tag field.
  10. To print labels, choose a template from the Label drop-down.
  11. If you're converting all the remaining clones in this groups to plants, you have the option to Retire clone group. Otherwise, be sure to destroy the clones that didn't survive.
  12. Click Convert.

The newly converted plants retain the same batch ID as the original clone group, but they are now tracked individually and are assigned their own serial numbers.

Destroy clones/seedlings

After converting your surviving clones to plants, destroy any remaining clones or seedlings.

  1. Go to Cultivation > Plants.
  2. Search the batch ID.
  3. Click the 3 dots next to the batch and select Destroy clones or Destroy seedlings.

Print labels

Now that your newly converted plants have their own serial numbers, it’s a good idea to print and attach labels to each plant.

If you haven't already done so, go to Settings > Account in the Backoffice and select a label printer to print labels to.

  1. Go to Cultivation > Plants.
  2. Filter by Batch to bring up each newly converted plant.
  3. Click the 3 dots next to the plant and then Print labels
    OR
  4. Use the checkboxes to select multiple plants, then click Bulk actions > Print labels.

Manage plants and plant groups

Plants begin their life cycles in batches (also called plant groups) of immature plants. Batches are plants of the same strain that were planted at the same time. You will update batches periodically as you move them between different growth stages and locations (rooms), before finally being harvested.

View and edit plants

When you click into the Plants module, all of your active plants load by default. You can filter or search by other plant status to find plants easier, see Filter plants view

  1. Go to Cultivation > Plants.
  2. All of your active plants will appear in the list. To see more plant detail select a plant from the list.

  3. Use the search field and filter options to find a plant specific plant type.

Individual actions

Click the 3 dots next to a plant to show these options, depending on plant status.

Option Notes
Details View plant details. You 
Move plant Assign plant to another room. This also changes the plant’s growth phase if you’ve associated growth phases to your rooms.
Retire or un-retire plant Un-retiring a plant in DutchiePOS does not un-retire it in BioTrack or Metrc.
Assign room and subroom Move plants between locations in your facility. This also changes the plant’s growth phase if you’ve associated growth phases to your rooms.
Assign/remove mother Specify which plant is the selected plant’s mother.
Assign mother status Classify the selected plant as a mother so you can assign child plants to it.
Assign plant stage Change the plant’s propagation stage.
Assign batch Change the plant’s batch assignment.
Add plant group  
Adjust immature plant count Update the quantity in a plant group. Most commonly used to record when clones die prior to conversion.
Destroy seedling  
Destroy clones  
Print labels  
Trim plants  
Apply additives Before you can apply an additive, you need to create a product catalog entry for the additive.
 Additive log View the history of additives apply to a plant.
Clone from plant Applies to mother plants only
Transfer to inventory Move the plant from your cultivation inventory and assign it to an inventory package (based on the plant serial number) and product master. This allows you to transfer clones or plants to another facility.
Transfer to cultivation Move the plant from your retail inventory to your cultivation inventory. Use this after accepting plants from another facility through Receive.
Plant journal Log notes on plant records.

Bulk actions

Use the checkboxes to select multiple plants, which reveals a Bulk actions button. Click Bulk actions to do any of the following to all selected plants:

  • Harvest plants
  • Retire empty clone group
  • Un-retire plants
  • Assign room and subroom
  • Assign/remove mother
  • Assign mother status
  • Assign plant stage
  • Assign batch
  • Add plant group
  • Apply additives
  • Transfer to cultivation

Filter plants view

The More button allows you to filter the types of plants and plant stages you want to see in the Backoffice. You can select from two filters with several subcategories:

Scan to move plants into a room/subroom or harvest or to retire plants

You can use a barcode scanner to more efficiently move plants to a room/subroom or harvest, or to retire or unretire plants.

From the Plants table, select Actions and then one of the following:

Scan plants

This option allows you to scan a plant's barcode to pull it up in the table instead of manually searching for it. You can scan multiple plants to show them in the table, then use the checkboxes to select each one and perform bulk actions.

Scan plants into room

  1. Select the Room and (optionally) a Subroom that you want to move plants into.
  2. Place your cursor into the Serial number field and scan the plant tag. You can also manually enter a plant’s serial number and press enter on your keyboard.
  3. Click Save.
  4. Plants are added to the Scanned table to confirm they were moved.

Scan plants into harvest

  1. Select a Harvest batch to assign plants to.
  2. Enter the Harvest date.
  3. Choose whether to also Collect weight for each plant (yes) or record serial numbers only (no).
  4. Place your cursor into the Serial number field and scan the plant tag. You can also manually enter a plant’s serial number and press enter on your keyboard.
  5. Click Save.
  6. Plants are added to the Scanned table to confirm they were added to the harvest.

Scan plants into (or out of) retirement

  1. Select a Status (Retire or Unretire).
  2. Place your cursor into the Barcode field and scan the plant tag. You can also manually enter a plant’s serial number and press enter on your keyboard.
  3. Select a Reason.
  4. Click Report.
  5. Plants are added to the Scanned table to confirm they were retired.

Move subrooms into rooms

Subrooms correspond to specific tables, shelves or areas of a cultivation room. You can use subrooms to help manage the physical location of batches and plants within a room. You can also move subrooms between cultivation rooms and record the move by scanning.

  1. Place your cursor into the Barcode field and scan the subroom’s barcode, or select the subroom from the drop-down menu.
  2. Select a room from the Move into drop-down menu.
  3. Click Move.
  4. Moves are recorded in the History table.

View and edit plant groups

  1. Go to Cultivation > Plant groups.
  2. Use the search field and filter options to find a plant group.
  3. Click the 3 dots next to a plant group to do any of the following:
    • Move
    • Change phase
    • Convert to plants (clones, seeds, and seedlings only)
    • Trim
    • Harvest
    • Retire
    • View plants
