Best practices for creating a report with the Business Intelligence (BI) tool in Dutchie POS

There are some best practices you can follow when creating a report with the Business Intelligence (BI) tools.

Things to Know

  • Business Intelligence (BI) tools are built on a platform called Looker, which has its own set of documentation and best practices. The steps outlined here may vary slightly.
  • Business Intelligence (BI) is an add-on service and not included in the standard Dutchie POS reporting package. If you are interested in adding BI tools, please reach out to Dutchie Support.

Best practices for creating a report with the Business Intelligence (BI) tool

  1. Accessing reports
In Dutchie POS Backoffice, go to Reports > BI Tools.
  2. Define your query
Clearly describe the question you're answering, e.g., “What are my net sales by budtender and product category in the last 30 days?”
  3. Filter data
Avoid including wholesale, transfer, and void transactions unless necessary. For retail sales, use the following filters:
    • Transactions Is Void: No
    • Transactions Type: Retail
  4. Select timespan
Choose the relevant date range to exclude irrelevant data.
  5. Focus on what matters
Only include data necessary to answer your query.
  6. Build data table
    • Select columns from the list on the left.
    • Use fields that return data from the database.
    • Learn more in Build Explorer Reports.
    • Click Run to execute the query.
  7. Make it actionable
Ensure the report presents information that can be immediately used for decision-making.

Tips for configuring Explorer reports

  • Expand tables or use keywords
Use the search or expand tables to find fields.
  • Dimensions vs measures
    • Dimensions: Individual records (e.g., categories, budtenders).
    • Measures: Aggregate functions (totals, averages, etc.).
  • Add fields to columns or filters
    • Left-click to add fields to columns.
    • Hover over a field and click the filter icon to add it to filters.
  • Pivot fields
Hover over a field and click the pivot icon to rearrange data.
  • Auto-refresh dashboards
    Set auto-refresh intervals in Settings.
  • Best practices
    • Use Chrome (avoid incognito mode).
    • The BI Dashboard includes wholesale orders, which may differ from BI Reports.
    • BI Reports don’t show historical inventory records when the current inventory is 0.
