Schedule reports with the Business Intelligence (BI) Tool in Dutchie POS

Learn how to schedule and format Business Intelligence (BI) reports in a variety of file formats.

Things to know

  • You can create reports from several different tabs in the Business Intelligence tool. This article covers how to create, schedule, edit, and format reports from the Explore tab.
  • Business Intelligence (BI) tools are built on a platform called Looker, which has its own set of documentation and best practices.

Schedule a report using the Business Intelligence tool

  1. Open Dutchie Backoffice and click Reports.
  2. Click BI tools.
  3. Click Explore.
  4. Select the folder Icon.
  5. Select the folder that holds the report you'd like to create a schedule for.
  6. Select the report you want to schedule.
  7. Click the cog wheel.
  8. Then click Schedule.

Add the people that you want to receive scheduled report

  1. Click Add recipients. 
  2. Add the email address of any recipients you want to receive the report. Use commas in between recipients if you are sending reports to multiple recipients.
  3.  Click Add.

Choose the file format you want the report to arrive in 

From File Format, choose:

  • Visualization: different animated visualizations of reporting in the email, such as bar graphs, line graphs, etc.
  • CSV format: A comma-separated values file is a delimited text file that uses a comma to separate values. Each line of the file is a data record. Each record consists of one or more fields, separated by commas.
  • XLSX: An XLSX file is a spreadsheet file created by Microsoft Excel or exported by another spreadsheet program. XLSX files may also store mathematical functions, charts, styles, and formatting.
  • JSON - Simple: JSON is an open standard file format and data interchange format that uses human-readable text to store and transmit data objects consisting of attribute–value pairs and arrays.
  • TXT File: A text file is a kind of computer file that is structured as a sequence of lines of electronic text. A text file exists stored as data within a computer file system
  • HTML: An HTM or HTML file is a Hypertext Markup Language file and is the standard web page file type on the internet.

Schedule the frequency of your report

  1. Click Repeating interval.
  2. Select Hourly, Daily, Weekly, or Monthly.

Use the Filters tab to edit current filters or create new ones

  1. Click Filters.
  2. Make any changes to filters.

Advanced options

In the advanced options section, you can choose to send this report on if "There are Results," "There are no results," or Either way. You can include links to the report in the email as well that can be shared with other teammates.

Format options 

Apply additional options to the data that's being presented in the email. You can also limit the number of results in a table and choose the timezone. Click Save All to finalize the scheduling of your report.
