Use the Business Intelligence (BI) tool in Dutchie POS to elevate your business decisions through dashboards and custom reports.

Business Intelligence tools empower organizations to drive operational decisions, in real-time, based on data collected and stored in Dutchie POS. When your business needs to make critical decisions, Business Intelligence tools or BI is a great place to start. Users can review dashboards, create custom report views, and schedule distribution via email.

Things to know

  • Business Intelligence (BI) tools are built on a platform called Looker, which has its own set of documentation and best practices. The steps outlined here may vary slightly.
  • Business Intelligence (BI) is an add-on service and not included in the standard Dutchie POS reporting package. If you are interested in adding BI tools, please reach out to Dutchie Support.
  • Your web browser needs to be set to accept 3rd party cookies for BI tools to work properly.
  • BI Reports do not include inventory records where the current inventory is 0.
  • You can configure BI Dashboards settings to Auto Refresh at different time intervals. To configure refresh settings, select Edit on any dashboard, then select Settings at the top of the page.
  • The past 1-day filter is defined as starting at midnight of today's date.
  • We recommend using Google Chrome to access BI Reports. Note that you must enable third-party cookies to access BI Reports, and cannot access BI Reports in Incognito Mode.

Find BI tools in the Dutchie Backoffice under Reports > BI tools.

Navigate dashboards

There are 7 tabs of pre-built dashboards you can navigate in the BI Tools section. Each tab has a preconstructed dashboard page composed of reports that help provide an overview of your operations.

Daily Snapshot

On this page you’ll find: 

 

  • Total of daily transactions
  • Total of sales that were cannabis related listed in quantity
  • Total sales in dollar amount
  • Total number of sales that included non-cannabis items 
  • Amount of customers transacted that day per budtender
  • Total amount of transactions per hour 
  • Top 10 products by quantity sold and their total revenue value
Monthly Snapshot

In this page you’ll find: 

 

  • Total of transactions for the month. 
  • Total sales in dollar amount
  • Total products sold in quantity. 
  • Average current cart price for the month
  • Daily sales over the month broke down by the last 8 weeks
Budtenders

In this page you’ll find: 

 

  • Total of sales that were cannabis related listed in quantity
  • Total sales in dollar amount for the day.
  • Total number of sales that included non-cannabis items in quantity.
  • Total amount of transactions for the day currently
  • Sales by budtender reports that includes
  • Budtenders Name
  • Total amount of customers
  • Items sold
  • Cash flow

In this page you’ll find: 

 

  • Total of daily transactions. 
  • Total sales in dollar amount for the day.

  • The Most Sold Products Report which includes: 
  • Product Name 
  • Quantity Sold 
  • Total Revenue Post tax
Daily Trends

In this page you’ll find: 

 

  • Each day of the week for the current week displaying the total amount of transactions per hour for each day 
Sales Report

In this page you’ll find: 

 

  • A report detailing Monthly Total Sales By Grams
Inventory 

 

In this page you’ll find: 

 

A current inventory list sorted by product name that includes: 

  • Vendor 
  • Total Cost
  • Total Quantity
  • Total Price
  • Total Product Grams
  • Total Price
  • Average Unit Cost
  • Average Unit Price
  • Inventory cost by vendor pie chart broken down in percentage
  • Current expiring products sorted by closest to expiry
  • Inventory By Room report

 

Use the Explorer tools

You can use the Explore tab to create custom reports from among hundreds of data points within the system. You can create reports from 8 principal classes of data:

 

Data point name Use
Sales
  • Data about transactions, products, and customers
Inventory
  • Data relating to current inventory. For information on historical inventory, use the Inventory Snapshot explore, or static reports
Inventory Conversions
  • Conversion history related to production batches
Inventory Snapshot
  • Historical inventory information
Cultivation
  • Data relating to plants, plant inventories, room names, batches, etc.
Purchase Orders
  • Information related to any purchase orders generated in Dutchie POS
Register Close-out
  • Historical beginning and ending balances for cash drawers
Reference Data
  • Data with non-specific variables and fields

 

Create and save custom reports

  1. Click Run to execute queries against the database.
  2. Select the Settings Cog to access the save and export menu.
  3. Save your report as ‘As a Look’ or ‘To an existing Dashboard.’ Note: A Look contains a single report. A Dashboard contains multiple reports.
  4. Download to your device in your preferred file formats as needed.

Additional actions you can perform with create and save custom reports:

  • Send via email.
  • Save and schedule for automatic delivery later. See how to Schedule Reports.
  • Merge Results ties information between modules (i.e, a sales and an inventory report).
  • Remove Fields and Filters returns to a default view.
  • Clear Cache and Refresh reruns the query and returns a fresh data set. This is most applicable when looking at the “current” period (today, this week, this month) where information changes in real-time.

Access saved reports and dashboards

To access saved reports and dashboards, navigate to the Explore tab and click the waffle icon. There are 3 folders you can save to. Each has different levels of permissions:

 

Folder name
Use
Personal  Save works in this space that others shouldn't access, such as works in progress and sensitive reports.
Group Tied to user permission groups; the group folder stores reports all BI users can access and view. Changes to your permission groups can unintentionally revoke access.
Shared Anyone with an Explore license in your organization can see reports saved in the Shared space.

Note that there are multiple levels of Shared folders. You can only save to LSP-level and Location-level Shared folders:

  • My folder (you can save to this folder)
  • Shared (you can't save to this top-level folder, which is labeled "no access" or has a padlock icon)
    • [LSP name]
      • [Location name]
        • Shared (you can save to this folder, which is shared with other users who have the necessary permissions for this Location)
      • Shared (you can save to this folder, which is shared with other users who have the necessary permissions for this LSP)
