Colorado | Metrc configuration for Medical Sales - Dutchie POS
This article applies to Dutchie POS.
Things to know
- The following options must be configured to Yes - Enable Allotment Check, New Cart Allotment Calculation, Report Product THC Content on Receipt, and Maintain Patient Allotment.
- The Ignore Sales option will need to be set to No.
- Ensure that the Patient MMJ ID number is in the proper format in their customer profile
Setup
To accommodate compliant sales reporting, we have added three new options to the Metrc Settings page:
- New Cart Allotment Calculation - This enables a potency calculation to meet the new regulatory requirements in Colorado. When items are added to the cart, the measure of THC per product will be tallied and displayed in the cart.
- Report Product THC Content on Receipt - This flag reports the amount of THC and unit(s) of measure for the total amount of the purchase. This flag is required to be on to report sales to Metrc.
- Maintain Patient Allotment - A new feature allows dispensaries to update patient allotments when a patient receives a recommendation greater than the standard amount.
In addition to these new options, some existing ones will also need to be updated:
Enable Patient Allotment Check - Colorado now requires real-time patient allotment checks before and after a sale to a patient. This feature is necessary to sell compliantly in Colorado.
Batch Mode
With the new requirement for real-time allotment checks, Batch Mode will no longer be compliant for Colorado dispensaries. Medical sales will need to be reported in real-time, and the Ignore Sales option in Metrc Settings will need to be set to No, and the Mode option will need to be set to Real-Time.
Please note: this is for Dispensaries that conduct Medical Sales only. Purely recreational facilities can leave Batch Mode on if desired.
Patient Maintenance
Metrc and the MED have added validation for the new Medical Patient MMJ ID numbers. That means that the MMJ ID must match in both content and formatting for a sale to go through.
Maintaining Allotments
If the patient arrives with a recommendation that is of a non-standard amount, MED is expecting that dispensaries will be updating the allotment at the time of check-in. To accommodate this, we have added an Edit Allotments button. This is located in the customer profile within the Personal tab.
Metrc requires that all fields in the allotments update be populated; otherwise, the update will be rejected, and you will receive an error message.
This will allow the dispensary to update the patient's allotment and integrate with Metrc, updating the allotment in near-real-time (per Metrc’s recent guidance, updates may take up to a few minutes to be reflected on the patient’s record).
New Allotments in Cart
With the real-time allotment feature active, the cart will now keep a running total of the potency for all products added to the cart, displayed in grams.
The THC potency will be calculated based on the values entered in the Product Catalog.
- If a patient’s allotment is exceeded, the cart will give a warning message.
- If the user proceeds with the checkout process, another warning will be displayed, requiring confirmation.
Reporting THC on Receipt
For each sales receipt posted to Metrc, the THC amount and unit of measure will be automatically reported to Metrc. The THC Content field on the Product Catalog entry will be used for this reporting.
- If the Product Catalog entry does not have the THC Content populated, the sale will not be able to be reported to Metrc.
- If this field is missed, the Product Catalog entry can be updated for the sale to finish.
