LeafLink + Dutchie POS integration guide

This article details the Dutchie POS + LeafLink integration and how to get started.

As part of Dutchie POS's inventory management features, we offer a menu integration with LeafLink’s wholesale cannabis marketplace. This is a one-way integration where Dutchie POS syncs information to LeafLink, helps keep product information in sync between Dutchie POS and LeafLink and eliminates manual processes and bottlenecks by simplifying and streamlining your inventory management. 

Things to know

  • This integration functionality is only available for Sellers including brands, distributors, and manufacturers.
  • This integration does not support retail dispensaries that want to integrate POS functionality with LeafLink. 

Integration requirements

  • To activate this integration, contact support@leaflink.com. Be sure to include the name of the LOC that you want to integrate.
  • The Dutchie POS integration is for Active LeafLink Sellers only. Sellers must have product categories and subcategories completed in their LeafLink account, and ensure all additional brands, licenses, facilities, etc. are established on their LeafLink account before beginning the integration. If you need any help or have any additional questions, please contact support@leaflink.com, or your LeafLink Account Representative.
  • This integration only supports Dutchie ERP functionality. This integration cannot support Buyers wishing to integrate Dutchie point-of-sale functionalities with their LeafLink account.

User integration requirements

  • Completed Seller LeafLink Account.
  • API Access key to Dutchie account.
  • Dutchie Brand List, License Number, Physical Location, and Address.
  • Category Mapping and Default Category (when mapping doesn’t exist).
  • Customer contacts for ongoing production support.

Getting Started

Once connected with LeafLink, an introduction will be made between you and LeafLink’s third-party integrator partner, who builds and implements the integration. They will continue to be the primary point of contact for all questions regarding onboarding, and implementation and will manage all ongoing support inquiries. LeafLink’s third-party integrator partner will initially set up the integration to your Sandbox environment to conduct testing. After successfully testing the integration, LeafLink’s integrator partner will schedule a go-live date for the Dutchie + LeafLink integration in your Production environment.

Integration workflow

The integration passes products, inventory, prices, photos, and product test results from Dutchie into LeafLink, updating in a time cadence that is configurable by you (every 5-15 minutes, for example), so that brands can maintain an accurate and up-to-date menu on LeafLink with ease. Once an order is placed on LeafLink, the brand will be notified via the Orders Received Page, after which they can create a manifest in Dutchie, gather the necessary delivery manifest templates and COAs for compliance, and prepare the product for fulfillment. The new inventory count will then be reflected in LeafLink.

  1. LeafLink’s third-party integrator will work with you to define a specific “inventory status” in Dutchie. That status will serve as an “event”, which will trigger the API call and tell LeafLink to map that product, quantity, and THC% back into its platform.
  2. When a Dutchie product reaches the designated inventory status (e.g. passed, ready to sell), the integration pushes the product + the THC test result % into LeafLink and creates an individual LeafLink SKU for that product/batch information in Dutchie with the THC% in the name (e.g. “OG Kush, 23.5%).  The new inventory quantity information from Dutchie will also be reflected in the LeafLink inventory quantity section for that product.
  3. When an order is placed on LeafLink, you will adjust the inventory count in Dutchie. The data will be refreshed in LeafLink to convey the new inventory count of any existing products, as well as any new products that have been added to the Dutchie system.

Important

At this time, the integration does not currently support order syncing. This is a functionality that may be considered in the future.
