This article outlines what’s included in a closing report in Dutchie POS, how these values are calculated, and how you can leverage the closing report to run your cannabis operation.
The Closing report is one of the most utilized reports in Dutchie POS. It provides data for accounting purposes and data that helps you with store closing.
Things to know
- This report provides a snapshot of data at a given time and may differ from current or historical data found in other reports.
- The Include details option allows you to see details for up to 7 days. Any period beyond 7 days excludes this detailed data.
- Register shortages are displayed in parentheses.
Income summary
The Income summary section includes data related to income at your location. The Income summary is broken down into 2 subsections that make up your income summary, Profit and loss and Tax summary.
Field | Description |
Gross sales | Shows the total amount of sales prior to any deductions. |
Discounts* | How much the discounts given out added up to over the selected time period. |
Loyalty* | The amount of redeemed loyalty added up. |
Returns* | The total amount of dollars you processed in returns added up. |
Revenue fees | Any fees attached to revenue earned. |
Net sales | The total sum of Gross sales, Discounts, Loyalty, Returns, and Return fees. |
Total tax | Summarized by the amount of taxes collected. |
Tips | Sum of total tips collected. |
Non-Cash Adjustments | Shows the sum of fees for all transactions pulled back when rendering the closing report by payment type (non-cash). |
Dutchie Pay Adjustments | Show the sum of fees for all transactions pulled back when rendering the closing report by payment type (Dutchie Pay). |
Non-revenue donations | Donations collected at your location. |
Subtotal | The total sum of Net sales, Total tax, and Non-revenue donations. |
Rounding | Total of any rounding done at your store. |
Total | Total is calculated by adding your subtotal plus the rounding amount. |
*These fields are all negative and calculated as debits out of the store. When calculating, subtract these fields from the net sales.
Profit and loss summary
Profit and loss summary helps calculate profit and margin for your store. You can take the total number of Net sales minus the total Cost of goods and get the sum of Gross profit.
Field | Description |
Net sales | The total sum of Gross sales, Discounts, Loyalty, Returns, and Return fees. |
Cost of goods | The amount of expenses or cost of the goods sold. |
Gross profit | Net sales minus the cost of goods gives you the gross profit for your store. |
Gross margin | To get a gross margin for the time period selected, take the total gross profit and divide it by revenue, then multiply by 100. |
Tax summary
Tax summary is the sum of the different tax types in the system. The total of your tax summary should match the total tax calculated in the income summary.
Revenue fees
A breakdown of the things that make up revenue fees in your system. Revenue fees are created in the backoffice.
Non-revenue fees
A breakdown of items that make up the calculated non-revenue fees based on your Fees and Donations settings.
Payment Summary
Shows a total of the cash that was collected, and details amounts from all payment types. You can see a breakdown of cash collected from DutchiePay and physical cash.
Cash activity
Helps you see the movement of money throughout the day. Use this data to ensure you are current with your cash.
Field | Description |
Starting balance | The balance you started with. |
Cash payments | The amount of payments or money that was made. This should be the same number as the Total balance from the Income Summary. |
Cash deposits | Shows a history of cash deposits during the selected time period. |
Adjustments | Shows register adjustment details for the selected time period. |
Over/Short | Show the amount in overages or shortages. This show is in a +/- format with a parenthesis (). |
Ending balance | Ending balance calculated. |
Other summaries
Other summaries include details related to categories, customers, order types, and transactions.
Category summary
Cannabis and noncannabis purchases.
Customer summary
This is a summary of orders by customer types including Medical, Recreational, and Retailer. If no customer type is selected for the customer then the sale will default to recreational sale.
Order type summary
A breakdown of order types, whether in-store or delivery. This lists the total number of orders for each type and the cash collected from each type.
Transaction summary
This summary shows a breakdown of data related to transactions such as the total number of transactions, single and multi-item transactions, items sold, and more.

Cannabis sales with tax | The dollar amount of sales tax collected on cannabis products. |
Noncannabis sales with tax | The dollar amount of sales tax collected on non cannabis products. |
Transactions | Total amount of transactions. |
Single-item transactions | The amount of transactions where a single item was purchased. |
Multiple item transactions | The amount of transactions where multiple items were purchased. |
Customers | The number of customers checking in to your store. |
New customers | First time visitors who made a purchase. |
Items sold | Total number of items sold for the selected time period. |
Avg $/Cart | The average dollar amount per transaction. |
Voids | Number of voids processed over the selected time period. |
Include details
When you include details in a closing report, you can see a breakdown of the following areas:

Registers | Includes all registers and their transaction history details such as cash sales, cash balance, deposits and more during the selected time period. |
Cash deposits | Shows a history of cash deposits during the selected time period. |
Payments | Shows payment history including payment type, register, customer info, and register. |
Register adjustments | Shows register adjustment details for the selected time period. |
Payment type changes | Shows details about payment type changes over the selected time period. |
Discounted transactions | This table shows details about discounted transactions over the selected time period including order source, budtender, and discount amount. |
Voids | Shows a history of voids over the selected time period. |
Refunds | Shows details about refunds over the selected time period. |
Cancellations | Shows details about cancellations over the selected time period including, reason, who canceled it, and register. |
Backdated transactions | Lists transactions that were entered after the specified date, but posted into a prior period. |
Note: All of these tables can be configured to show only the details you want to see. Click the settings cog to configure the settings to your liking.
