Virginia operators learn how to set up and troubleshoot a Biotrack integration to confirm cannabis patient eligibility to purchase cannabis products.
The Virginia Department of Health Professions has partnered with BioTrack to provide a patient registry database, where all cannabis patient applications can be queried to confirm eligibility to purchase cannabis products. Dispensaries are expected to query the registry for each patient that they check in to confirm that the Application ID (MMJ ID) presented is both valid and active before admission into the sales floor.
Setup patient registry
- Go to Settings > Integration > Virginia BioTrack
- From here, you can control the connection, which BioTrack environment to connect and configure API Keys.
- Note: These keys are unique to each location.
Use the integration
Once the integration is configured, you can check in patients from the register.
When clicking the Check In button from the guest search or the profile, Dutchie POS will query the patient registry with the MMJ ID value, which correlates to the Application ID in Virginia.
- If the Application ID can be located and the application’s expiration date is in the future, you can proceed with the transaction.
- If the application does not match or if the expiration date in the patient registry is in the past, check-in will be blocked until either of these are corrected. In these cases, Dutchie will pass the error message provided by BioTrack.
Error messages
You may encounter the following error messages.
No Application ID in the patient profile
This means there is no MMJ ID.
Invalid Application ID provided
This means MMJ ID was entered incorrectly in the guest profile or the expiration date in the patient registry is in the past.
