I need help finding my transaction-level detail reports

Use this article to locate and export granular, line-item sales data in Dutchie POS (Backoffice) for reconciliation, auditing, or state reporting.

What is the issue?

Users need a "source of truth" for sales data to view sales transaction data, view voids, cancellations and return, or perform detailed audits. This requires a report that breaks down individual transactions into specific details like product names, lot/package IDs, taxes, discounts, and the employee who processed the sale. 

What's causing the issue?

Dutchie POS offers several reports, each designed for a different level of detail. Users may be unsure which report contains the raw, line-item transaction data they need versus a summarized or aggregated view. The key reports for transaction-level data are:

  • Sales Report: The primary transaction-level sales data report within a given timeframe. This is the go-to for granular transaction detail.
  • Sales Transactions by Date (Raw Data): Provides a full list of sales transactions including voided, canceled, and returned sales. Best for audits requiring complete records.
  • POS Transactions By Date Report: Lists POS transaction details in a specified timeframe.
  • POS Transaction Summary: Lists a summary of POS transactions in a specified timeframe.

How do I solve the issue?

Before you begin, ensure your user role has the appropriate permissions to access the reporting section in the Dutchie POS Backoffice.

To access your detailed sales reports:

  1. Log in to the Dutchie POS Backoffice.
  2. Navigate to the Reports section. Key areas include Reports > Overview for summary dashboards and Reports > Sales for multi-location sales data.

Navigate to Reports > Overview and search:

  1. For transaction-level sales detail, select the Sales Report. This provides transaction-level sales data within a given timeframe.
  2. For a complete record of all transactions (including voided, canceled, and returned sales), select the Sales Transactions by Date (Raw Data) report.
  3. For POS-specific transaction details, use the POS Transactions By Date Report or POS Transaction Summary depending on the level of detail needed.
  4. Use the available filters to narrow your data. Common filters include Date Range, Location, Vendor, Brand, Product Type, and Product Name.
  5. Click Export to download your data as a .xlsx file. 

To view individual transactions:

  1. Navigate to Register > Transactions > All Transactions.
  2. Search by date range, customer, or receipt to locate specific orders and view their full details.
