Use this article to troubleshoot discrepancies in Dutchie POS by using the Product Journal or Inventory Reports to track inventory changes, audit shrinkage, and reconcile data with state traceability systems.
What is the issue?
Users need to track the history of inventory changes within Dutchie POS, but they aren't sure which tool to use. Common actions they want to audit include receiving, sales, manual adjustments, conversions, room moves, waste, and reconciliations. Dutchie POS offers two separate features for this:
- Product Journal (for searching a specific package or product's full history)
- Inventory Reports (for running date-ranged reports across all inventory).
What's causing the issue?
Users often don't realize that inventory movement data lives in two different areas of the Backoffice, each designed for a different use case. Using the wrong tool, or not having the correct permissions enabled will result in the data appearing incomplete or inaccessible.
How do I solve the issue?
Product Journal (search a specific item's history)
Best for: Investigating a single package, batch, or SKU to see every action that has been performed on it.
- Ensure your user profile has the View Inventory History permission.
- Navigate to Products > Journal.
- Enter a Package ID, Batch ID, or SKU into the search bar (minimum 3 characters) and click Search.
- Use the Activity dropdown to filter by a specific action type (e.g., Move, Adjust, Convert, Receive, Combine, etc.).
- Use the Location dropdown to filter to a specific location if your company has multiple.
- Review the results, which include: Product, Date, Activity, Batch, Package ID, SKU, By (the user who performed the action), Qty, Location, External Package ID, Modified Property, Old Value, and New Value.
- Click a row to view additional details about the transaction.
- To export, click the Actions menu and select Export or Print.
Inventory Reports (run a date-ranged report across all inventory)
Best for: Auditing all inventory movements over a period, shrinkage analysis, or reconciling with state systems.
- Ensure your user profile has the View Inventory Reports permission.
- Navigate to Reports > Inventory > Reports.

Select the report that matches your need. Common options include:
- Inventory Activity Report: Shows the quantities and costs of inventory at the start and end of a period, and all actions in between. Best for overall inventory flow tracking.
- Adjustment Reports: Track quantity adjustments with cost information.
- Conversion Detail Report: Track inventory conversion transactions.
- Select your desired date range and any other available filters.
- Click Export to generate a file for external audits or shrinkage analysis.
Reconciling with your state traceability system:
If you need to cross-reference inventory data with what was reported to your state system (Metrc, BioTrack, CCRS, etc.), navigate to:
- Traceability > Logs to view API submission logs and any errors. Use the Traceability
- Traceability > Integration Audit page to identify discrepancies between Dutchie POS and your state system.
