Getting Started: Roles and Access

How do I adjust a user's POS role permissions?

To modify what a user can see or do at the Point of Sale:

  1. Navigate to Backoffice > Settings > Users.
  2. Select the specific user you wish to modify.
  3. Click on their Permission Group assignment or edit individual permissions.
  4. Check or uncheck the desired permissions (e.g., "View Register Transaction Data").
  5. Click Save.

Note: Some permissions are bundled. For example, View Register Transaction Data grants access to both viewing sales history and modifying payment types.

How do I manage a user's location or LSP access?

  1. Go to Backoffice > Settings > Users and select the user.
  2. Under Location Assignments, use the dropdown to add or remove locations.
  3. For managing multiple locations at once, use the Bulk Assign User Locations feature.

Prerequisite: You must have Edit Users and Bulk Assign User Locations permissions enabled on your own account to see these options.

How do I add a new user with the right permissions?

  1. Navigate to Backoffice > Settings > Users and click Add User.
  2. Enter the Login ID (required), name, and email.
  3. Assign a Permission Group and the appropriate location(s).
  4. Click Save to trigger an automatic invitation email.

Specialized Tools and Integrations

How do I configure BI Tools (Business Intelligence) access?

BI Tools access is managed by the backend team and cannot be enabled in standard settings.

  • To Request Access: Contact Support via chat or email with the user’s email, required locations, and whether they need View or Explore permissions.
  • Next Steps: Once granted, the user must sign out and back in. Ensure they are using Google Chrome with third-party cookies enabled.

How do I set up a user’s Metrc API key?

  1. In Metrc: Go to Admin > Employees and generate an API key.
  2. In Dutchie: Go to Backoffice > Settings > Integrations > Metrc and enter the key.
  3. If "Require Individual User API Keys" is toggled on, every employee must perform this step.

Security and PIN Management

How do I manage or reset a user's POS PIN?

For security, PINs cannot be viewed by anyone. They can only be reset.

  • In Backoffice: Go to Settings > Users, select the user, and click Generate New PIN.
  • At the Register: Use the Switch User function on the login screen to trigger a reset.

How do I require a Manager PIN for specific POS actions?

Some overrides (like adding items to a cart or allotment adjustments) are backend configurations.

  • To change these, contact Support and specify the action you want to protect and the location name(s) it applies to.

Maintenance and Auditing

How do I change an account status (Activate, Deactivate, or Merge)?

  • Deactivate (POS): Toggle the user to Inactive under Backoffice > Settings > Users.
  • Deactivate (Ecommerce): Go to Settings > Users within the Ecommerce admin.
  • Merge: To combine duplicate customer profiles, go to Customers, select the profile, and use the Merge function.

How do I configure inventory and audit permissions?

Manage these via Backoffice > Settings > Permission Groups. Key toggles include:

  • View Product Catalog/Detail: Controls visibility of the product list.
  • Inventory Adjustments: Controls access to adjustment codes.
  • View Integration Reconciliation: Allows access to the Integration Audit page.

How Do I Restore Admin or User Management Access in Dutchie POS or Dutchie Admin?

An administrator may lose access to User Management in Dutchie Admin or lose visibility of a location in Dutchie POS Backoffice Settings after changing their email address, accidentally removing themselves from an admin group, or having their permissions modified. In some cases, no other administrator remains to restore access.

You will need another admin with the appropriate permissions restore your access. If there is not another admin available, you should contact Dutchie Support.
