Manage cultivation batches

Learn how to view, create, edit, and manage batches in Dutchie.

The Products > Batches experience centralizes batch management in single place to see every package tied to a batch, regardless of which location it is at.

This feature is available to retailers using Dutchie POS with cultivation or advanced inventory workflows, or operations that rely on lab results for compliance and merchandising.

Things to know

  • This feature requires the Edit Lab Samples and View Lab Samples user permissions. 
  • Lab results are entered at the package level but apply to the entire batch. When you edit lab results, the change affects all packages that share those results. The system displays a warning before you confirm any edits.
  • The Active Inventory filter is on by default, which hides batches with no current inventory. Toggle this off under More filters if you need to see all batches.
  • Closing a batch does not delete it. You can reopen a closed batch at any time.
  • Deleting a batch requires you to transfer its contents to an existing batch first. This action cannot be undone.

View and filter the batch list

The batch list page at Products > Batches shows all batches for your organization. Each row displays the strain, relevant dates, THC and CBD values, and the count of active packages (packages with a quantity greater than zero).

To filter the batch list:

  1. Use the Create From and Created To date fields in the header to filter by date range.
  2. Select a strain from the Strain dropdown to narrow results by strain.
  3. Click More to access the Active Inventory toggle. Turn this off to include batches with no remaining inventory.

To export or print the batch list:

  1. Click the Actions dropdown.
  2. Select Export or Print.

Add a new batch

  1. From Products > Batches, click Add Batch.
  2. In the modal, enter a Strain and a Batch Name.
  3. Click to confirm. The system checks whether a batch with the same strain already exists and displays a warning if a potential duplicate is detected. You can proceed or cancel.

If you select a different strain than an existing batch with the same name, the system also warns you of the mismatch. The warning is informational and does not block you from saving.

View and edit batch details

Click any batch in the list to open the batch detail page. The detail page has three tabs: Batch Details, Lab Results, and Packages.

The Batch Details tab displays the batch name, strain, and harvest date. If you have the EditLabSamples permission, these fields are editable.

To edit batch details:

  1. Click into the Batch Name, Strain, or Harvest Date field.
  2. Make your changes.
  3. Save your changes.

The Lab Results tab surfaces cannabinoid and terpene data without requiring you to run a separate report. The tab displays:

  • Visual bar charts for the top 5 cannabinoids and top 5 terpenes, with percentages.
  • Full cannabinoid and terpene sections with totals.
  • Contaminant status cards showing pass or fail for each tested category.
  • Test details with an option to view the COA (certificate of analysis) PDF in a modal.
  • An informational banner showing how many packages share these lab results, with a link to the Packages tab.

To upload or enter lab data:

  1. On the Lab Results tab, click Upload lab data to import a file, or Manual entry to enter values directly.
  2. Review the warning banner, which confirms how many packages will be affected by the change.
  3. Complete the upload or entry and save.

Editing lab results affects all packages in the batch that share those results. The system displays a warning in the edit modal before you confirm.

The Packages tab shows every package associated with the batch across all locations in a single view.

To find a specific package:

  1. Use the Location dropdown to filter by store location.
  2. Use the search field to find packages by SKU, product name, or package ID.
  3. Click More to access the sold-out toggle, which hides or shows packages with zero quantity.

Package IDs are clickable and open the inventory detail page in a new tab.

Close and reopen a batch

Closing a batch marks it as inactive but preserves all data. You can reopen it at any time.

To close a batch:

  1. Open the batch from Products > Batches.
  2. Click the batch you want to close.
  3. From the Actions tab, choose Close.
  4. Confirm the action.

The batch list displays a closed indicator on the batch row. Use the Closed Batches filter to view closed batches.

To reopen a batch:

  1. Filter the batch list to show Closed Batches.
  2. Open the closed batch.
  3. Select the option to reopen it and confirm.

Delete a batch

Deleting a batch permanently removes it. Before deletion, you must transfer all packages and data to an existing batch.

To delete a batch:

  1. Open the batch you want to delete.
  2. Click through the batch you want to delete
  3. In the popup, select the destination batch that will receive the contents of the batch you are deleting.
  4. Review the warnings shown in the popup, and confirm the transfer.
  5. Confirm the deletion.

After deletion, all packages previously assigned to the deleted batch will appear under the destination batch.

Move packages between batches

If you need to reassign a package from one batch to another without deleting the source batch, you can move packages directly.

Inventory list with product and location details

  1. Open the batch that currently contains the package.
  2. Go to the Packages tab.
  3. Select the package you want to move.
  4. Click Bulk Actions and choose Reassign to a batch
  5. Choose the destination batch. 
  6. Review any warnings and confirm.

Review batch activity in the user event log

Dutchie Backoffice logs all batch actions in the User Event Log, including batch creation, edits, closures, reopens, and deletions. This log is useful for audits and troubleshooting.

To view batch activity:

  1. In Dutchie Backoffice go to Settings > Users>  User Event Log in Dutchie Backoffice. 
  2. In the event type filter, select Batches.
  3. Set your date range. Note that the end date must be set to tomorrow's date or later to capture today's activity.
  4. Click Run.

The log displays each action taken on a batch, including who performed the action and when.
