Bulk update prices and costs in Dutchie Backoffice

 

The Bulk Price & Cost Editor in Dutchie Backoffice lets you update prices and costs across many products or inventory packages at once, without editing each item individually. This is useful when you need to reprice an entire category, adjust margins across your catalog, or make coordinated changes ahead of a promotion or compliance update.

Dispensary Managers and Directors of Operations can use the editor to apply pricing changes at scale while maintaining control over each individual update. Inventory Specialists working with package-level pricing can use it to update location-specific costs and prices directly from the Inventory page.

The editor supports two workflows:

  • Interactive Mode (AI-Assisted): Select items in Dutchie Backoffice, describe the changes you want in plain language, review proposed updates in an editable grid, and save.
  • CSV Mode: Export current prices and costs to a CSV file, edit them in your spreadsheet tool of choice, and reimport to apply changes in bulk.

Before you begin

  • You must have the Bulk Edit Product Pricing permission to access the Bulk Price & Cost Editor. If you don't see the feature, contact your Dutchie POS admin to review your permissions. 
  • The Cost column and related cost fields are only visible if you also have the View Inventory Costs permission.
  • You can launch the editor from either the Catalog page (for catalog-level default prices and costs) or the Inventory page (for package-level, location-specific prices and costs). Where you launch the editor determines what you are editing.
  • If your location uses catalog-level pricing rather than location-level overrides, the editor will not appear on the Inventory page. Inventory-level price edits would have no effect in that configuration.
  • The editor only affects items you explicitly select (in Interactive Mode) or include in your CSV (in CSV Mode). No other items are changed.
  • Before making large bulk updates, export a CSV of your current pricing as a backup. This gives you an easy reference if you need to reverse any changes.
  • The fields available to you depend on your store's configuration. If Dual Pricing is enabled, both Med Price and Rec Price columns appear. If your location is medical-only or recreational-only, only the relevant column appears.
  • For other types of bulk updates, you may need to reach out to Dutchie Support.

Access the Bulk Price & Cost Editor

You can open the editor from either the Catalog or Inventory page in Dutchie Backoffice.

From the Catalog page:

  1. Go to Catalog.
  2. Select one or more products.
  3. Click Bulk Actions.
  4. Choose Bulk update cost and prices.

From the Inventory page:

  1. Go to Inventory.
  2. Select one or more packages.
  3. Click Bulk Actions.
  4. Choose Bulk update cost and prices.

Use Interactive Mode (AI-Assisted)

Interactive Mode lets you describe pricing changes in plain language. The system interprets your instructions and proposes updates for you to review before saving.

Step 1: Select items

  1. Go to Catalog (for product-level pricing) or Inventory (for package-level pricing).
  2. Use filters or search to find the items you want to update.
  3. Select the products or packages.
  4. Open Bulk Actions and choose Bulk update cost and prices.

Step 2: Describe your changes

Type what you want to do in plain language. Examples include:

  • "Increase all Flower prices by 10%."
  • "Raise all edibles by $2."
  • "Set a 30% margin over cost for Flower."

The editor generates example prompts based on your actual product data to help you discover what is possible. You can also enter prices manually instead of using the AI assistant, or use the AI assistant first and then manually adjust individual values in the grid.

Step 3: Review and edit the grid

The editor displays an editable grid showing:

  • Current values and proposed new values side by side
  • Percent change highlighting for quick scanning
  • One row per product or package

Before saving, you can manually override any individual cell. You can also use the Show only changes filter to display only rows where values will actually change, which makes reviewing large selections easier.

Step 4: Validate and save

The editor automatically checks for risky or invalid changes before you save:

  • Large change warning: If any price or cost changes by more than 50%, you will be prompted to confirm.
  • Zero price warning: Setting a price to $0 triggers a warning to prevent accidentally making items free.
  • Negative price blocking: Negative prices are not allowed. You must correct these rows before saving.
  • Scientific notation detection: Inputs like "1e5" are flagged and blocked, as these are often accidental.

Once you have reviewed all changes:

  1. Confirm any warnings, if applicable.
  2. Click Save to apply all valid updates at once.

Use CSV Mode

CSV Mode is best when you prefer to work in a spreadsheet, want a backup of current pricing before making changes, or are coordinating complex updates across many SKUs.

Step 1: Export your current pricing

  1. Go to Catalog or Inventory.
  2. Apply filters and adjust the column configuration (using the cog wheel) to isolate the products or packages you want to update.
  3. Open the Actions menu at the top of the page.
  4. Choose Export.

Step 2: Edit in your spreadsheet

Open the CSV in Excel, Google Sheets, or your preferred tool. You can edit any pricing or cost fields you have permission to view.

Keep the following in mind:

  • Make a copy of the original file before editing so you have a backup of your previous prices and costs.
  • Your file must include ProductId and at least one of Price or Cost. For location-level pricing, you can also include Location price or Location cost. All other columns are ignored on reimport.
  • By default, ProductId is a hidden column. Enable it in the export dialog before exporting.

Step 3: Reimport your file

  1. Return to Catalog or Inventory.
  2. Open the Actions menu.
  3. Select Bulk update cost and prices via CSV.
  4. Upload your edited CSV.

The system validates your file and applies changes where column names are recognized (including supported aliases) and values pass the same validations used in Interactive Mode.

Supported column name aliases:

The system accepts several alternate column names on reimport so you do not need to rename columns if you are working from an earlier export. For example, "Med Price" and "Medical Price" are both accepted.

Editable fields

The fields available to you depend on your permissions and store configuration.

What this feature does not do

The Bulk Price & Cost Editor is focused on pricing and costs only. It does not:

  • Sync changes with compliance systems such as METRC or BioTrack.
  • Edit non-pricing fields like product name, category, weight, or other metadata.
  • Recalculate or manage pricing tiers.
  • Edit taxes or fees.
  • Affect any items you did not explicitly select or include in your CSV.

Troubleshooting

Why don't I see the Bulk Price & Cost Editor?

You may not have the Bulk Edit Product Pricing permission. Users without this permission will not see the bulk action menu option or the CSV options in the Actions menu. Contact your admin to review your permission settings.

Why don't I see the Cost column?

The Cost column and related cost fields only appear if you have the View Inventory Costs permission. If you need access, contact your admin.

Why is the editor hidden on the Inventory page?

If your location uses catalog-level pricing and not location-level price overrides, the editor does not appear on the Inventory page. In that case, use the Catalog page to make bulk pricing updates instead.

My CSV reimport did not apply all changes. What happened?

The system only applies changes where column names are recognized and values pass all validations (no negative prices, no scientific notation, etc.). Check that your file includes ProductId and at least one pricing or cost column, and that no values violate the validation rules described above.
