Review and respond to brand-funded discount proposals in Dutchie Backoffice

Learn how to find, review, accept, and decline brand-funded discount proposals in Dutchie Backoffice.

Brand-funded discounts are promotions created and funded by brands that want to offer discounts on their products at your dispensary. Brands submit these proposals through Dutchie Connect, and your dispensary receives them directly in Dutchie Backoffice for review.

When you accept a brand-funded discount proposal, the discount activates automatically for the specified products and duration. You do not need to build or configure the discount yourself. This feature provides a way to offer consumers additional savings on branded products without using your own promotional budget.

Brand-funded discounts appear alongside your self-created discounts in the Marketing > Discounts list. A Funding Brand column identifies which discounts are brand-funded so you can distinguish them from discounts your team created.

Things to know

  • Brand-funded discount proposals are managed under Marketing > Proposals in Dutchie Backoffice. This is separate from the Marketing > Discounts section where your active discounts live.
  • Brand-funded discounts are visible in your Marketing > Discounts list alongside your self-created discounts. Use the Funding Brand column to identify brand-funded promotions.
  • When you accept a proposal, the vendor (brand) is notified of your participation. Products included in the offer are automatically discounted for the full duration of the promotion.
  • Once you accept a proposal, you cannot edit its terms, including the products (SKUs), funding details, or dates. You can cancel the promotion at any time, but you cannot modify it.
  • If a proposal's start date has already passed at the time you review it, Dutchie will display a warning in the acceptance confirmation. Review this carefully before accepting.
  • Declining a proposal notifies the brand that your dispensary has chosen not to participate. You can view declined proposals at any time from the proposals list.

Check for incoming proposals

When a brand submits a discount proposal to your dispensary, Dutchie displays a notification bell in Dutchie Backoffice. Use the notification area to see all messages, filter for unread notifications, or mark messages as read.

You can also navigate directly to Marketing > Proposals to see your full proposals list without waiting for a notification.

Review the proposals list

  1. In Dutchie Backoffice, go to Marketing > Proposals.
  2. The proposals list organizes entries by status. You can view proposals that require action, proposals you have already accepted, proposals you have declined, and canceled proposals.
  3. To find a specific proposal, search by proposal name or by the funding brand name using the search field or the Funding brand dropdown.
  4. To customize which columns appear in the list, use the column configuration option. Available columns include discount name, funding brand, funding coverage, funding amount, start date, and end date.

Review a proposal's details

  1. From the proposals list, click the proposal you want to review.
  2. On the proposal detail screen, review the following at the top of the screen:
    • The proposal title and expiration date
    • The discount type (percent off or dollar amount)
    • The funding terms, including total funding limit and funding coverage percentage
  3. Scroll down to review additional information, including online display details (how the promotion will appear to consumers online), and any notes left by the brand.
  4. Click the Notes tab to review any notes associated with the proposal.
  5. Review the Included products section to see the conditions of the promotion, the product brand and category, the reward, and any applicable notes. You can search for individual products by name in this section.
  6. In the included products table, you can configure the visible columns to show retail catalog product, category, current price, and units on hand.
  7. Click the Participating locations tab to confirm which of your locations are included in the proposal.

Accept a proposal

  1. After reviewing the proposal details, click Accept at the top of the screen.
  2. A confirmation modal appears. Review the details, including any warnings (for example, if the promotion's start date has already passed).
  3. If you want to proceed, click Accept in the modal. If you want to reconsider, click Cancel to close the modal without taking action.
  4. Once accepted, the proposal moves to the Accepted tab in the proposals list, and the promotion activates automatically for the included products.

Decline a proposal

  1. After reviewing the proposal details, click Decline at the top of the screen.
  2. A confirmation modal appears asking you to confirm that you want to reject the offer. The modal notes that the brand will be notified of your decision.
  3. If you want to decline, click Decline in the modal. If you want to reconsider, click Cancel to close the modal without taking action.
  4. Once declined, the proposal moves to the Declined tab in the proposals list.

View accepted and active brand-funded discounts

After accepting a proposal, you can see the resulting discount in two places:

  • Marketing > Proposals, under the Accepted tab, for a view of all proposals you have accepted.
  • Marketing > Discounts, where the brand-funded discount appears alongside your self-created discounts. Use the Funding Brand column to identify it.

You can cancel a brand-funded discount from the discounts list at any time, but you cannot edit its terms.

Frequently asked questions

Question: How do I get notified when a brand-funded discount is sent my way?

Answer: We are refining a notification system, so they will pop-up when you log into your backoffice. We are also working on notification preferences if some prefer to be emailed directly. 

Question: What’s included on the closing report and when do we receive that?

Answer: The closing report becomes available as a CSV file to download once the promotion is complete. A promotion is considered complete once the end date is reached, or the funding limit is reached (whichever comes first.)

Question: How would a promotion get sent to multiple rooftops? Can we see the performance of each promotion at the LSP level as well as each rooftop? 

Answer: Brands have the option to select a specific rooftop, or the entire LSP when they create the promotion. Both parties can track performance as a whole or broken down by specific locations in the closing report and credit ledger (coming soon!)

Question: What happens if a brand's discount hits its funding limit in the middle of the day?

Answer: To protect your customer experience, the discount will continue to run until the end of the day. The brand is responsible for covering any overage beyond their set limit, which is specified in their contract.

Question: Will brands mess up my menu formatting or pricing?

Answer: Not at all. You have full edit access to override brand product names and descriptions. You also have the final say to approve or decline any proposed discount before it goes live, and you can edit customer-facing discount names so they print correctly on your receipts.
