This article explains how to use the Orders page in Dutchie E-Commerce Admin.
The Orders page in Dutchie E-Commerce Admin is your central hub for managing all online orders placed through your dispensary's Dutchie Storefront.
From this page, you can view incoming orders in real time, move orders through the fulfillment workflow, and review order history for reporting or customer service purposes.
The Orders page supports pickup, delivery, and kiosk order types, and it gives your team the tools to confirm orders, communicate order readiness to customers, and investigate past or cancelled orders when questions come up.
Before you begin
- The Orders tab is visible only to users with Orders permissions enabled. Your account administrator can configure these permissions under Settings > Users.
- A badge on the Orders icon in the left-hand navigation menu displays the number of active, unfulfilled orders at a glance.
- If your dispensary uses a fleet management integration (such as Onfleet) or a POS integration for order management, some status transitions may be managed automatically by those systems rather than manually by your team.
- Orders that fail to sync with your POS integration will display a sync failure indicator instead of a normal status, so you can identify orders that need manual attention.
Access the Orders page
To access the Orders page, click Orders in the left-hand navigation menu of your Dutchie E-Commerce Admin.
The Orders page is organized into three tabs, each showing orders at a different stage of the fulfillment lifecycle:
| Tab | What it shows |
|---|---|
| Current | All active, in-progress orders that have not yet been completed or cancelled. This is the default view when you open the Orders page. |
| Past | Completed (closed) orders. Use this tab to look up previous orders, review order details, and investigate order history. |
| Cancelled | Orders that were cancelled before completion. Each cancelled order displays the cancellation reason and timestamp. |
Current orders
The Current tab shows all active orders that need attention. Orders appear here from the moment a customer submits them until they are closed or cancelled.
View options
You can toggle between two view modes using the View dropdown in the top-right corner:
- Cards view: Displays each order as an individual card, making it easy to scan multiple orders and take quick actions. This is the default view.
- List view: Displays orders in a table format with sortable columns, ideal for high-volume dispensaries that need to process many orders at once.
Filtering and sorting
Use the filter and sort controls at the top of the page to find orders quickly:
- Search: Search by customer name or order number. The list filters as you type.
- Filter: Filter orders by fulfillment type, including All Orders, Pickup Orders, Delivery Orders, or Kiosk Orders. Only order types enabled for your dispensary appear in this dropdown.
- Product: Filter orders containing a specific menu item. Start typing or select a product from the autocomplete dropdown. Click Clear on the product chip to remove the filter.
- Sort by (Cards view only): Sort orders by Order time, Scheduled time (if scheduled ordering is enabled), or Order status.
Order information displayed
Each order, in either card or list view, displays the following information:
- Order number (a clickable link to the order detail page)
- Customer name
- Order type (Pickup, Delivery, or Kiosk, shown as a visual badge)
- Order time (how long ago the order was placed)
- Scheduled pickup or delivery time, if the customer selected a scheduled time slot (this shows "ASAP" if no scheduled time was selected)
- Order status (the current stage in the fulfillment workflow)
- Next step (an action button showing the next fulfillment action to take)
Order status workflow
Orders progress through a series of statuses. The Next Step button automatically shows the appropriate action at each stage.
Pickup orders
- Open: click Confirm to acknowledge the order.
- Confirmed: click Ready for Pickup to mark the order as complete and notify the customer.
Delivery orders
- Open: click Confirm to acknowledge the order.
- Confirmed: click Start Delivery to mark the order as in transit. If no driver is assigned and you do not have a fleet management integration, you will be prompted to enter driver information.
- In Transit: click Close Order to complete the delivery.
Additional actions
In List view, each order row includes a ⋮ (more) button with additional actions:
- Close order: Immediately close the order, skipping intermediate steps.
- Cancel order: Cancel the order and select a cancellation reason.
- Print order: Print the order details to a desktop, a connected terminal, or a cloud printer.
Pause orders
If your dispensary has the Pause Orders feature enabled, a Pause Orders toggle appears in the Current Orders header. When you activate it, your storefront temporarily stops accepting new orders. This can help during high-volume periods or when your team needs time to catch up on existing orders.
Curbside arrivals
If your dispensary has curbside pickup enabled, a Curbside Arrivals banner appears at the top of the Current Orders tab. This banner shows customers who have checked in for curbside pickup and are waiting for their orders. You can clear individual arrivals or clear all arrivals at once.
Past orders
The Past tab shows all completed orders that have been closed successfully.
Filtering and sorting
- Search: Search by customer name or order number.
- Filter: Filter by All Orders, Pickup, Delivery, or Kiosk.
- Dates: Select a date range to narrow results by clicking a start date and end date in the calendar picker. Orders placed through the end of the selected end date (11:59 PM in your local timezone) are included.
- Product: Filter by a specific product to find all past orders that contained that item. Combine this with the date range filter to quickly perform product-specific order lookups and audits.
Past orders display in a table (list view only) with the following columns: Order, Customer, Type, Submitted (date and time, displayed in your dispensary's timezone), Order time (total duration from submission to completion), Pickup/Delivery time (if applicable), and Order total.
Results are paginated at 20 orders per page. Use the pagination controls at the bottom of the page to navigate between pages.
Cancelled orders
The Cancelled tab shows all orders that were cancelled before completion. It offers the same filtering and sorting options as the Past Orders tab: search, order type filter, date range, and product filter.
Cancelled orders display the same table columns as past orders. Click any order to view its details, including the cancellation reason and timestamp.
Order detail page
Click any order number from the Current, Past, or Cancelled tabs to open the order detail page. This page provides a comprehensive view of the individual order, split into two main areas.
Main content area
- Order header: Displays the order number and customer name prominently at the top.
- Cancelled order banner: If the order was cancelled, a pink banner shows the cancellation reason and the date and time it was cancelled.
- Order status and actions: For active orders, the page shows the current status and provides action buttons to advance the order through its fulfillment workflow. These match the Next Step buttons on the Current Orders list.
- Order cart: A table listing all items in the order, with the following columns:
| Column | Description |
|---|---|
| Item | Product image, brand, product name, strain type, and THC/CBD potency. The product name links to the product's menu page. |
| Options | Additional product options, if applicable (for example, flavor or variant). |
| Weight | The selected weight or size option (for example, 1g, 3.5g, 1/8 oz). |
| Quantity | Number of units ordered. |
| Item price | Pre-tax price of the individual item. |
For active orders that are not yet closed or cancelled, authorized users can edit the order cart. You can adjust quantities, change weight or size options, modify item prices, add items, or remove items. Edits are tracked in the order's edit timeline.
Sidebar
- Customer information: Customer name and contact details, a link to the customer profile, delivery address (for delivery orders), and a medical card photo (for medical orders), viewable through a secure photo modal.
- Order timeline: A chronological timeline showing key events in the order's lifecycle, such as submitted, confirmed, ready for pickup, and closed, with timestamps displayed in your dispensary's timezone.
- Edit history: If the order has been edited, a separate timeline of all edit events (item changes, price adjustments, and so on) appears below the main order timeline.
- Quick actions: Contact support opens the Dutchie support widget for help with the order. Cancel order opens a confirmation modal where you select a cancellation reason. Call details appears if the order was placed through a voice agent (AI phone ordering) and links to the call recording and details.
Printing orders
You can print order details from both the Current Orders list and the order detail page. When you click Print, Dutchie checks for available printing devices:
- If you have connected terminals or cloud printers, a Print Options modal appears so you can choose where to print.
- If no terminals or printers are connected, the order opens directly in your browser's print dialog for desktop printing.
Printed orders include the order number, customer name, item details, quantities, prices, payment method, and any applicable coupon or discount information.
Integration status alerts
If one of your connected integrations, such as a POS or menu integration, is experiencing API issues, an alert banner appears at the top of the Current Orders page. The banner identifies the affected integration and links to status.dutchie.com for real-time status updates.
Tips and best practices
- Use the product filter together with the date range filter on Past or Cancelled Orders to quickly locate all orders containing a specific product. This is helpful for investigating product issues or conducting audits.
- Switch to List view during busy periods for a more compact, scannable view of your order queue.
- Monitor the order badge on the Orders navigation icon. It updates in real time as new orders come in.
- Set up desktop notifications for new orders so your team never misses an incoming order, even when working in another tab.
