Restrict Patient Policy Agreement Edits in Dutchie Backoffice to Administrators

This article explains the permission required to edit the Patient Policy Agreement in Dutchie Backoffice and is intended for Dispensary Managers, General Managers, and Compliance Officers.

The Patient Policy Agreement is a waiver-style document that some states require patients to sign before purchasing cannabis. It typically outlines the terms a customer agrees to and can help protect your dispensary from liability related to products purchased at your location.

Editing this document requires the Administrator permission in Dutchie Backoffice. 

Before you begin

  • You must have the Administrator permission to view or edit the Patient Policy Agreement. The POS Manager permission alone no longer grants access to this workflow.
  • The Patient Policy Agreement feature must be enabled for your location. If you do not see this option at all, contact Dutchie Support.
  • This change affects the Edit policy agreement action in Dutchie Backoffice only. If a staff member previously had access through the POS Manager permission and now cannot see this option, they will need their permissions reviewed or elevated by an Administrator.
  • Policy agreement requirements vary by state, so confirm your local requirements with your compliance team before making changes to the agreement text.

Locate the Patient Policy Agreement

  1. Sign in to Dutchie Backoffice.
  2. Select Customers from the side menu.
  3. Click the Actions button at the top of the customer list.
  4. Select Edit policy agreement.

If your account has the Administrator permission, the system will open the Patient Policy Agreement for editing. If your account does not have the Administrator permission, the system will not display this option.

If you need to grant an employee access to this workflow, an Administrator will need to update that employee's permissions to include Administrator access. Keep in mind that the Administrator permission grants broad access across Dutchie Backoffice, so assign it only to staff who need full administrative control.

Troubleshooting

Why can't I find the Edit policy agreement option in the Actions menu?

You likely do not have the Administrator permission on your account. Contact your Dispensary Manager, General Manager, or another Administrator to request updated permissions.

A staff member used to be able to edit the Patient Policy Agreement. Why can't they anymore?

This is expected. Access to this workflow moved from the POS Manager permission to the Administrator permission. If this staff member needs to continue editing the Patient Policy Agreement, an Administrator will need to grant them the Administrator permission.

Where do I confirm which permission an employee currently has?

Go to Settings > Users in Dutchie Backoffice to review an employee's current permissions.
