Illinois | REC to MED expansion: Dutchie POS configuration checklist

Learn the Dutchie POS configuration steps required for Illinois adult-use (REC) dispensaries expanding to add a Medical (MED) license.

When an Illinois adult-use dispensary adds a Medical license, several Dutchie POS settings need to be updated before you go live with medical sales. This checklist walks through the Metrc reporting setting, purchase limit and flower equivalency values, and the optional HIPAA patient policy acknowledgment that apply to this transition.

Before you begin

  • Updating these settings requires these user permissions:
    • Edit Metrc Integration
    • Edit Purchase Limits
  • Illinois medical inventory is shared with adult-use inventory. Configure it identically to your other medical locations rather than as a separate inventory pool.
  • The HIPAA patient policy step requires you to contact Dutchie Support or your Customer Success Manager (CSM) to enable a feature flag before you can use it. You cannot enable this yourself in the Dutchie POS Backoffice.
  • Dutchie does not provide compliance advice. Merchants are responsible for their own compliance. This checklist is for informational purposes only and should not be relied on for tax, legal, or compliance advice. Consult your own tax, legal, or compliance advisors to confirm the values and settings that apply to your dispensary.

Prerequisites

Step 1: Metrc License Update (Metrc-side action)

  • Metrc needs to update the client's license from REC to Hybrid (REC+MED) within Metrc first
  • This is a Metrc-initiated action — clients should contact their Metrc account manager to request this update
  • Client cannot proceed until Metrc has completed this step

Step 2: Add Patient Lookup Permissions to All Users (Metrc-side action)

  • After Metrc updates the license, client must add "Patient Status Lookup" permissions to all employee/user API keys in Metrc
  • This includes Patient Status Lookup, Patient Memberships Lookup, and Caregiver Status Lookup under the Search Menu
  • Each individual user API key must have these permissions enabled (not just the admin/master key)

Step 3: Generate New API Keys (Metrc-side action)

  • Employees/users must generate new API keys in Metrc after permissions are added
  • This is required because permissions must be tied to the new keys

Step 4: Paste API Keys in Dutchie Back Office

  • Client pastes the new API keys into Dutchie POS back office
  • Then follow the existing help center checklist as documented

Configure Metrc reporting settings

  1. In the Dutchie POS Backoffice, go to Settings > Integrations > Metrc. 
  2. On the Settings tab, set Report Sales By to Customer Type. This ensures Metrc reporting accurately distinguishes between adult-use and medical transactions, which is required for Illinois state compliance.
  3. Click Update.

Configure purchase limits and flower equivalency

Illinois medical inventory is shared with your other adult-use inventory and should be configured identically to your other medical locations.

Update your medical flower equivalency values to the following:

  • Flower: 70.87g
  • Concentrates: 26.64g (ratio: 2.66)

These values must match Illinois state medical purchase limit requirements. You can find these settings under Settings > Taxes & compliance.

Configure the HIPAA patient policy (medical only)

If your dispensary is required to collect a HIPAA patient policy acknowledgment:

  1. Contact Dutchie Support or your CSM to enable the Require Policy Signature feature flag. This cannot be enabled directly in the Backoffice.
  2. Update the HIPAA form content by going to Customers > Actions > Edit Policy Agreement.

Troubleshooting

Q: The attach button in the Edit Policy Agreement module isn't working. What should I do?
A: This is a known issue. Engineering must update the form content for it to display correctly. Open a Support ticket if you need assistance with this step.
