Use and configure Register Co-Pilot in Dutchie Point of Sale

Learn how budtenders can use Register Co-Pilot in Dutchie Point of Sale to see real-time cart suggestions at the register and control what Co-Pilot recommends.

Register Co-Pilot in Dutchie Point of Sale (Dutchie POS) gives budtenders real-time suggestions while they build a cart. Each suggestion appears as a card with a one-click action, such as an add-on product, a product to explore, a loyalty reminder, or a consumer profile detail to collect.

Register Co-Pilot supports several use cases:

  • Budtenders see suggestions based on the consumer's cart, purchase history, loyalty status, and profile, so they can offer relevant add-ons and complete consumer records during the sale.
  • Dispensary Managers / General Managers promote specific brands, categories, or products, keep other products off the cards, and set the tone of the card wording for their store.
  • Regional Managers set company defaults once so recommendations work the same way at every store, then let individual stores fine-tune them.

You manage Register Co-Pilot from the Register Copilot tab in Dutchie Backoffice. Budtenders use the suggestions in the Dutchie Register.

Before you begin

  • Register Co-Pilot must be enabled for your company and location. If you don't see Co-Pilot in the cart or the Register Copilot tab in Dutchie Backoffice, contact your Customer Success Manager.
  • Co-Pilot needs a consumer assigned to the cart. Suggestions are based on the consumer's cart, purchase history, loyalty status, and profile.
  • To change company defaults in Dutchie Backoffice, you need the Administrator permission at every active store in your company. To change a single store, you need the Administrator permission at that store.
  • Recommendation rules save right away. Upsell and Card wording changes do not save until you select Save at the bottom of the page.
  • If a product matches both a Promote rule and a Never recommend rule, Never recommend wins.
  • AI writes the wording on each card, so the exact text varies. Your settings control which products can and can't appear.

Use Register Co-Pilot at the register

Where Co-Pilot appears

Open a consumer's cart. Co-Pilot appears on the right, under Customer insights, as Cart Opportunities (AI). If the consumer belongs to any segments, they appear above the cards. If no consumer is assigned to the cart, the panel shows Assign customer to view insights.

Co-Pilot shows up to four cards, with the Upsell card first. The header shows how many suggestions there are, such as 4 openings on this cart.

When suggestions update

  • Co-Pilot creates suggestions when you open the cart.
  • Co-Pilot refreshes the suggestions automatically whenever you add a new product to the cart. Removing a product doesn't trigger a refresh.
  • Select the refresh icon next to the count to get a new set of suggestions at any time.

Card types

Card What it suggests Button
Upsell An add-on that fits what is in the cart. Cards from your Always feature rules carry the label Store Pick with the brand or product name. Other Upsell cards carry the label Quick Add. If the rule has a budtender note, it appears under the headline. + Add
Explore Something new for the consumer to try, such as a new drop in a favorite category. View or + Add
Rewards A prompt to enroll a consumer who isn't a loyalty member, or to redeem points for a member who has them. Enroll in loyalty or Redeem Points
Connect A conversation starter, such as a birthday, a welcome back, or a first visit. Add note to profile
Profile Missing consumer details, such as email, phone, or address. Co-Pilot doesn't show this card when the profile is complete. Edit profile

What the buttons do

  • + Add opens the product search with the suggested product already filled in. Select Add to Cart to add it. At stores that require scanning, the button works differently. See the next section.
  • View category opens the product search filtered to that category.
  • Enroll in loyalty opens loyalty enrollment, and Redeem opens loyalty redemption.
  • Edit profile and Add note to profile open the consumer's profile.

Preview suggestions from the guest list

On the guest list, select Customer insights on a consumer's card to see their Co-Pilot suggestions before you open the cart. You will also see the consumer's purchase history and notes. The buttons are view-only on the guest list, so open the cart to act on a suggestion.

Add suggested products at stores that require scanning

Co-Pilot follows the same add-to-cart rules as your regular product search. Co-Pilot never lets a budtender skip a scan or a manager PIN that your store requires. How + Add and View work depends on how your location is set up.

Location setup + Add on a product card View <category>
Manual add allowed (the default) Opens the product search with the suggested product filled in. Select Add to Cart. Opens the product search filtered to the category.
Scan required (Enable +/- Buttons in Search is turned off) Opens a Scan to add window for the suggested product. Scan the package, and the window closes on its own once the item is in the cart. Select Cancel to close the window without adding the item. Opens the product search filtered to the category. To add a product from there, scan the package.
Manager PIN required to search (Require PIN to search is turned on) Opens the Scan to add window, so you scan the item in without opening the search. Asks for a manager PIN first, then opens the product search filtered to the category.

At scan-required stores, the Scan to add window names the exact product to grab: "Scan the package for [product] to add it." Use this prompt to pull the item from the shelf and scan it at the counter.

If you are not sure how your location is set up, contact Dutchie Support.

Register Gamification

When a cart is close to qualifying for a discount, Register Gamification shows a progress bar under the cart. For example, you might see "Spend $12.00 more to get $5 off your order" or "Add 1 more item to get 20% off each item." When it can, Register Gamification also suggests a product that would get the cart to the discount. Select the product button to add it.

You turn on Register Gamification for each store in Dutchie Backoffice. Register Gamification may not be available at every store yet.

Set up Register Co-Pilot in Dutchie Backoffice

You control everything Co-Pilot recommends from one page in Dutchie Backoffice.

Open the settings

  1. In Dutchie Backoffice, go to Registers > Configure.
  2. Select the Register Copilot tab.
  3. Under Apply changes to, use Scope to choose Company defaults (all stores) or the store you are signed in to.

How company defaults and store settings work together

Company defaults apply to every store. When you select a single store, company rules appear as Inherited. A store can override or disable an inherited rule, add its own rules, and set its own Upsell and card wording. To go back to the company settings, select Use company defaults (Upsell) or Use company voice (Card wording).

Add a recommendation rule

Rules tell Co-Pilot what to promote and what to keep off the cards. Each rule targets one brand, category, master category, or product.

  1. In Recommendation rules, select Add rule.
  2. Under Rule, choose Promote or Never recommend.
  3. Under Applies to, choose Brand, Category, Master category, or Product, then search for and select the target.
  4. For a Promote rule, choose a Strength. See Promote strengths.
  5. (Optional) Set a Start date and End date. Leave both blank to run the rule until you disable it. Expired rules stop automatically.
  6. (Optional) Add a Budtender note of up to 60 characters, such as "20% off through Sunday". The note appears under the card headline so the budtender knows why Co-Pilot suggests the product.
  7. Select Add rule. Rules save right away, so you don't need to select Save at the bottom of the page.

Rule targets

Applies to What it matches
Brand Every product from that brand.
Category Your own product categories, as you set them up in your catalog.
Master category Dutchie's standard product groups, such as Tincture or Pre Rolls. Use master categories for rules that should work the same way at every store.
Product One specific catalog product.

Promote strengths

Strength What it does at the register
Always feature Guarantees one card at every checkout, labeled Store Pick, while a matching product is in stock and not already in the cart. Co-Pilot chooses the matching product that best fits the cart, then the lowest price. If several Always feature rules are active, they take turns day by day. Use this strength sparingly.
Prefer When the product is relevant, a matching product beats the consumer's past favorites and cart pairings for the Upsell card. Co-Pilot does not guarantee a Prefer product on every cart.
Suggest Adds matching products to the pool of options Co-Pilot can choose from. Co-Pilot does not guarantee that they appear.

Never recommend

Products covered by a Never recommend rule can't appear on any Co-Pilot card, even if they are in the consumer's purchase history. If a product matches both a Promote rule and a Never recommend rule, Never recommend wins.

Manage existing rules

Use the ... menu on a rule to edit, disable, enable, or delete it. When you view a single store, inherited company rules offer different options: you can override the rule for that store, or disable it for that store only. Deleting a company rule removes it for every store, including any store overrides of it. To change a company rule for one store only, override or disable it at that store instead of deleting it. The Schedule column shows Not active today for rules that fall outside their dates.

Choose how Co-Pilot picks the Upsell

Co-Pilot shows one regular Upsell card per cart. When several add-ons are possible, the Upsell section decides which kind wins.

Setting What it does
Source order Ranks the four sources. Co-Pilot uses the first source that has a match for the cart.
Add-on price ceiling Sets the most an Upsell add-on can cost, as a percentage of the typical item already in the cart, so the suggestion stays an easy decision for the consumer. Enter 25 to 100 percent. The default is 50 percent. Always feature Store Picks do not follow this ceiling.

The four sources in Source order are:

  • Bought together: something this consumer usually buys with what is in the cart.
  • Promoted (Prefer rules): products from your Prefer rules.
  • Cart pairing: an inexpensive add-on that fits the cart.
  • Past favorites: something from the consumer's purchase history.

To change the Upsell settings:

  1. In the Upsell section, drag the rows to rank the sources, or select a row's handle to choose its position.
  2. Enter an Add-on price ceiling.
  3. Select Save at the bottom of the page to apply your changes, or select Cancel to discard them.

Set the card wording

The Card wording section controls how cards read, not which products appear.

Setting What it does
Show budtender note Shows each rule's budtender note under the card headline at the register. Turn this off to hide all notes.
Store voice Holds up to 500 characters of tone and wording guidance. For example: "Friendly and brief. Greet returning consumers by first name. Call our rewards program 'Rewards Club', not 'loyalty'."

Do not use Store voice to promote or hide products. Use Recommendation rules instead.

To change the card wording:

  1. In the Card wording section, turn Show budtender note on or off.
  2. Enter your guidance in Store voice.
  3. Select Save at the bottom of the page.

Replace the free-text prompt from earlier versions

These settings replace the free-text Register Co-Pilot prompt from earlier versions. Re-create any product instructions as Recommendation rules, and put tone or wording guidance in Store voice. If your Register Copilot tab still shows a single free-text prompt box, your store hasn't moved to the new settings yet.

Turn on Register Gamification and preview your settings

The Enable Register Gamification toggle turns the discount progress bar on or off. It applies only to the store you are signed in to, and it saves as soon as you switch it.

Preview at the register shows illustrative cards based on the rules in effect for the selected scope, and it lists anything excluded there. Real cards depend on the consumer and on live inventory.

Troubleshooting

What do the Co-Pilot messages mean?

Nothing worth flagging right now. Co-Pilot didn't find a useful suggestion for this cart. Add items or select the refresh icon to try again.

Unable to generate tips. Co-Pilot couldn't create suggestions. Select Try again.

Copilot settings unavailable. Co-Pilot couldn't load your store's recommendation rules, so it pauses suggestions instead of risking a card for a product you excluded. Select Try again. If the message keeps appearing, contact Dutchie Support.

A product I promoted isn't showing up. What should I check?

Check these items:

  • The rule is active today. The Schedule column shows Not active today when the rule falls outside its dates.
  • A matching product is in stock and not already in the cart.
  • No Never recommend rule also matches the product.
  • Only Always feature guarantees a card. Prefer and Suggest products appear when they are the best fit.
  • For Prefer rules, check where Promoted (Prefer rules) sits in the Source order.

Why does my rule show Not active today?

The current date falls outside the rule's Start date and End date. Expired rules stop automatically. To run a rule until you disable it, leave both dates blank.

Can a store opt out of a company rule?

Yes. In Dutchie Backoffice, select the store under Scope, open the inherited rule's menu, and disable the rule for that store or override it with store-specific settings. The company rule keeps applying at every other store. Do not delete the company rule, because deleting it removes it for every store, including any store overrides of it.

Why did Co-Pilot stop following my custom prompt?

Co-Pilot no longer uses free-text prompts. Re-create product instructions as Recommendation rules, and copy tone or wording guidance into Store voice.

Why do the cards in the preview differ from the cards at the register?

Preview at the register shows illustrative cards. Real cards depend on the consumer and on live inventory.

Why did my suggestions change after I added an item?

Co-Pilot refreshes its suggestions whenever you add a new product to the cart, so the suggestions stay relevant to what the consumer is buying now.

Why does + Add ask me to scan instead of adding the product?

Your location requires you to scan items, or it requires a manager PIN to search. Co-Pilot follows the same rules as your regular product search, so scan the package to add it.
