Learn how to process a delivery intended for a medical patient when the order will be handed to the patient's registered caregiver instead of the patient directly.
Overview
When a patient has a caregiver attached to their profile and a delivery is going to that caregiver rather than directly to the patient, the order must still be processed through the standard caregiver check-in flow. The sale is always reported under the patient, with the caregiver checked in and attached to that order. Metrc does not accept a sale reported directly under a caregiver as the purchasing customer, and will reject the sale.
This applies in any market where Metrc caregiver check-in is used, for both delivery and in-store orders.
Before you begin
- The caregiver must already be added in the Medical section of the patient's guest profile before you can check them in. See Check in a caregiver at the Dutchie POS Register for how to add and check in a caregiver.
- If the patient is already checked in or present on the guest list, you can't also check in their caregiver. Guests and caregivers are tied to one another, and only one can be checked in at a time.
- Never create or process the order under the caregiver's own customer profile, or assign them a Caregiver customer type as the purchasing customer. The order must be created and placed in the patient's name.
Process the delivery
- Search for the patient's name and press Enter.
- Select the patient, then click Caregiver on the guest pane.
- In the Select Caregiver window, select the caregiver who will be receiving the delivery.
- Click Check in to add the caregiver and create an order under the patient's name.
- Continue building and managing the delivery as you normally would, for example, assigning a driver and vehicle, saving route details, and generating a manifest. See Manage delivery orders at the Register in Dutchie POS for the full delivery workflow.
The order remains attached to the patient's record throughout. The caregiver is only checked in to indicate they're the one receiving the delivery on the patient's behalf.
Troubleshooting
Q: I tried to process a sale directly to a caregiver, and the order was rejected. Why?
A: Metrc does not accept a sale reported under a caregiver as the purchasing customer, and will reject it. You may see a rejection message along the lines of "Facility can not deliver to Caregivers." Process the order under the patient instead, using the caregiver check-in flow described above.
Q: Does this apply to in-store orders too, or only deliveries?
A: This applies to both. Whenever a caregiver is picking up or receiving an order on a patient's behalf, whether in-store or via delivery, the order must be processed under the patient with the caregiver checked in, never under the caregiver directly.
