Use Biotrack destruction manager to destroy inventory.

Dutchie POS integrates with Biotrack to help customers in BioTrack-integrated states manage their cannabis operations. Through the BioTrack integration, users can perform several actions including destroying inventory using BioTrack’s Destruction Manager.  

Things to consider

  • Using Biotrack requires specific features to be enabled by Dutchie support. 
  • Certain states require special consideration when destroying inventory. Be sure to confirm your state’s considerations prior to using the destruction manager.
  • Package destruction is usually a coordinated effort between state regulators or law enforcement to witness the destruction of items. Please adhere to your state regulations when destroying items. 
  • Destroy action will zero out the whole package lot of anything that shares the External ID aka BioTrack Barcode), including if it’s spread out to multiple rooms.

Biotrack destruction manager

When you destroy a package at a location that’s integrated with BioTrack’s state traceability system, the package is scheduled to be destroyed. Packages that are scheduled for destruction are subject to a 72-hour waiting period before they become eligible for destruction. 

Packages in the waiting period are ineligible for destruction. Packages that have completed the waiting period are eligible for destruction unless state authorities deem a package ineligible for destruction. You will be able to see that item has been scheduled for destruction in the Status column as well as the date you can destroy it on.

To destroy eligible packages:

  1. Go to Products > Inventory
  2. Click the ellipsis on the line item you want to destroy.
  3. Select Destroy from the list of actions.
  4. Enter a reason for destruction and click OK.  
  5. After the 72-hour state approval process, go to Settings > Integrations > Biotrack > Destruction Manager to complete the destruction of your inventory.

Packages that have passed the 72-hour window and are approved for destruction appear under the Eligible tab. Packages within the 72-hour window or packages deemed otherwise ineligible for destruction appear in the Ineligible tab.

For plants in the Ineligible tab, you can cancel destruction by selecting Undestroy from the actions list. Note that the Undestroy option is only available for plants, not inventory, and does not impact the state system. Therefore you'll need to reach out to Biotrack to make changes on that end. 

When to use the destruction manager

In most states, destroy actions are first taken in the Inventory module in the ellipses menu for a line item. The tool forces an absolute adjustment to zero and reports to the state traceability system as a destruction request. The item will be accessible in the Destruction Manager, which is a tab within Settings > Integrations > BioTrack.

There are 3 main reasons you may need to use BioTrack’s Destruction Manager to remove packages from your inventory:

  1. You received damaged inventory from a manufacturer.
  2. The inventory has been damaged in the possession of your dispensary and can no longer be sold.
  3. Inventory has been designated as waste and needs to be destroyed.

Damaged inventory from a manufacturer

If you receive damaged inventory from a manufacturer, you must create a manifest and send the inventory back to the manufacturer to be destroyed.

Inventory damaged at your facility

If inventory in your facility has been damaged while in your possession, you need to destroy it before getting rid of it.

Inventory designated as waste

Inventory designated as waste needs to be set for destruction and properly disposed of.

State considerations

Certain states have special considerations for destroying inventory. States that currently use BioTrack’s traceability system include:

  • Hawaii
  • Illinois
  • New Mexico 
  • Delaware
  • North Dakota
  • New York
  • New Hampshire 
  • Connecticut
  • Florida

If you are in a state that requires specific steps for destroying inventory, please adhere to those guidelines before proceeding with BioTrack. 

Examples:

  • Illinois has a queue on their BioTrack backend where they can request state approval for item destruction. Once approved, they can destroy the items directly in Dutchie POS.
  • In Florida, there is no BioTrack user interface that operators can log into, so all actions, including destruction, are handled entirely in Dutchie POS.
