Pay by Bank Reporting and Settlement

Dutchie's Pay by Bank reporting can be found in Dutchie POS backoffice under Reports. This article provides an overview of where to find Pay by Bank transactions and tips, as well as settlement timing and details.

Pay by Bank on Closing Report

The total amount processed with Pay by Bank for the day will appear under the Payment Summary in the Closing Report. Pay by Bank has the following dedicated data on the Closing Report:

  • Pay by Bank totals will be listed under Pre-Payments. This is the total amount paid by customers. It includes tips, and the transaction fees have not been deducted from this total.
  • The Total Tips will be displayed under Income Summary > Total Tips. This reflects all tips including Pay by Bank.
  • Tips from Pay by Bank will be displayed under Income Summary > Pay by Bank Tips.
  • Optional fees (i.e. surcharging) can be viewed under the Income Summary > Non-revenue Donations breakout section at the bottom of the Income Summary tile, with the title Pay by Bank Fee.

Pay by Bank Tip Reporting

For a breakdown of tips by budtender for a given date range, go to REPORTS > EMPLOYEE, then from the dropdown select either TIP SUMMARY BY EMPLOYEE or TIP SUMMARY BY TERMINAL.

Note: Tips are paid in your deposits as part of the order total. How tips are paid to your budtenders is based on your process and state rules & regulations. 

 

Pay by Bank Settlement Timing

Pay by Bank batches are processed daily for the entire transaction date, from 12:00 AM to 11:59 PM 
local time.

  • Deposits are net of the transaction fees. Learn more about Pay by Bank fees here
  • When a deposit is settled to your bank account, the line item description may slightly differ depending on your bank's ingestion of our batch file data, but it will look similar to the example below:

  • Revenue for Pay by Bank transactions is deposited directly into your linked bank account on the next business day from the finalized transaction. Each day, a batch is processed, and that batch is then used to process the disbursement, which is the transaction total less the fees. 
    • For days that banks are closed/national holidays, the money is deposited the following business day.
    • If you are using one bank account for multiple locations, each location’s revenue transfer will be paid separately. Find help here to update the bank account on file for receiving Pay by Bank deposits.

Pay by Bank Settlement Report

  • The Dutchie POS Dutchie Pay Settlement Report (now known as Pay by Bank)
    shows the batches that have been generated and sent to their bank, as well as transaction details. This is the report to use to reconcile your deposits. 
  • The report can be found in backoffice by searching under reports for the "Dutchie Pay Settlement Report".

  • It is important to note that some transactions will not have any data populated until that batch closes for the day.

 

Note: To view how a Pay by Bank transaction was completed (Dutchie E-Commerce, Dutchie Kiosk or in-store), you can run the Payments report. Columns Order Source and Order Type will help you identify how the transaction was completed.

Important Definitions

  • Batch File: This is the Batch ID, which you can use to group transactions with deposits received

  • LL Transaction ID: Dutchie POS order number

  • Transaction_amount: Cart amount + Optional Surcharge (configured by the dispensary) + Tip

  • Transaction_fees: Pay by Bank fee that merchants pay when Pay by Bank is used by a consumer. It is deducted from the transaction at the time of deposit.

  • Disbursement_batch_total: Total deposit amount

  • Disbursement_amount: Transaction Amount - Transaction Fees

  • Transaction_tip_amount: Total tip amount per transaction
