This article explains how ID scanning helps you prevent duplicate guest profiles and complete guest information at check-in in Dutchie Point of Sale.
When you scan a guest's ID, the system checks for existing duplicate profiles, recommends the most complete one, and gives you the opportunity to fill in missing information, such as an email address or phone number. This helps reduce duplicate profiles during check-in..
Before you begin
- This flow applies to both Dutchie's native ID scanning and the VeriScan integration. You do not need separate processes for each.
- If you use VeriScan, you must designate a Check-In Register in Dutchie Backoffice before you begin scanning guest IDs
- VeriScan locations are limited to a single Check-In Register. If your location needs multiple simultaneous check-in stations, use Dutchie's native ID scanning instead of VeriScan, or disable Auto check in with ID scan so scans check guests in automatically without the modal.
Set up Auto check with ID scan
This flow is controlled by a single location setting called Auto check in with ID scan.
From Dutchie POS Admin go to Settings > Location > Point of Sale > Auto check in with ID scan
When this setting is enabled, a scanned guest is added to the Guest List automatically with no modal.
When this setting is disabled, follow the workflow described in this article to review duplicate profiles and update guest information before completing check-in.
The system calculates a profile completeness score based on factors such as purchase history, recency of activity, loyalty enrollment status, and Pay by bank connection. The system uses this score to recommend which duplicate profile to keep.
How duplicate detection works when you scan a guest ID
When you scan a guest's ID and the system finds existing duplicate profiles for that guest, Dutchie POS displays a list of those profiles. The system marks the most complete profile with a green checkmark icon and selects it by default. The system also checks the scanned ID data against the stored profile in real time and flags any discrepancies, so you can review and update mismatched fields individually rather than relying only on what was previously saved.
You do not need to update every flagged field. If a guest's address on file no longer matches their ID, for example because they moved, you can update the address or leave that field unchecked and the system will not update it.
Check in a guest and update their profile
- From the Dutchie Register, click Scan ID.
- Scan the guest's ID.
- If the system finds duplicate profiles, review the recommended profile (marked with a green checkmark) or select a different profile from the list.
- Review any fields the system flags as a mismatch between the scan and the stored profile, such as a misspelled name or an old address.
- Enter a phone number or email address if the guest's profile does not already have one. You can skip this step if the guest prefers not to provide this information.
- Uncheck any field you do not want to update.
- Click Check in.
Enroll a guest in Dutchie Loyalty & Marketing Pro during check-in
If a guest is not already enrolled in Dutchie Loyalty & Marketing Pro, the system automatically prompts you to enroll them as part of the check-in flow.
- After you complete the guest's profile information, review the loyalty enrollment prompt.
- Proceed with enrollment, or skip enrollment from the SMS opt-in message if the guest does not want to enroll.
- Complete check-in.
Configure a Check-In Register for VeriScan
If you use VeriScan for ID scanning, you need to designate a Check-In Register so the modal-based check-in flow only appears where you intend it to.
- In Dutchie Backoffice, create a register to serve as your Check-In Register if one does not already exist.
- Find your VeriScan device ID under Devices in VeriScan Cloud.

Troubleshooting
What happens if a guest declines to provide a phone number or email address at check-in? You can skip this step. Providing this information is not required, though it is encouraged, since it helps the system build a more complete profile and reduces future duplicates.
Can you avoid overwriting a guest's existing information during check-in? Yes. Uncheck any field you do not want to update, and the system will leave that information unchanged.
